SUMMARY OF ROLE:
Support the Managers to ensure financial and administrative operating procedures are robust, compliant and efficient for customers, suppliers and employees. Along with the general processing of orders for our clients.

DUTIES & RESPONSIBILITIES

1. Provide support to the Management team to ensure the effective management of the debts to the business, by way of prompt invoicing, and stern credit chasing.
2. Effectively operate the company’s chosen software package to record orders, committing stock, maintaining a good clean database of customer records within the business remits.
3. Work through the prepared credit report, chasing the debt, by phone and email, issuing 7-day letters when required maximising our cash reserves.
4. Prepare account statements as required by the General Manager and /or DSTG accounts and chase for payment to ensure customers do not breach their agreed credit limits
5. Invoices and credit notes are processed timely and correctly ensuring accuracy on pricing and roll reservation accuracy.
6. Assisting with the processing of orders received via Phone or mail – including issuing of quotes and proforma including the effective administration of all sales functions
7. Liaise with customers verbally and or via email in a professional and efficient manner.
8. Purchase goods and services on behalf of the company. Such as basic Stationery and warehouse consumables from the most cost-effective source.
9. Complete the managements monthly expenses report in a timely manner for the submission to DSTG accounts, for management teams expenses.
10. Effectively manage your workload to meet deadlines, escalate workload to the Resource & Planning manager as required
11. Maintain high standards in all areas at all times.
12. Abide by Company Health and Safety Policies, maintaining a healthy and safe environment for yourself, colleagues and visitors – reporting and dealing with any hazards as necessary.
13. Carry out any reasonable request from General manager – this may be something outside of your job description but will be within your capability.
14. Assist with the any price changes in the system and for communication to our clients.

We are a small team here at Sommer Flooring and teamwork is important. Whilst we all have our own specific duties related to our skills and expertise, it is important that we all ‘muck-in’ and undertake the general duties that we can all do – e.g. make the tea, clean, greet visitors etc.

We are also a growing business, and the detail of this job description will evolve and change through conversation and practice as the business grows
