Crynodeb

As a PA you will help co-ordinate, alongside the Staff Chaplain as Chief of Staff, all aspects of the Outer Office of the Chaplain General and Deputy Chaplain General and are key to ensuring their participation in significant religious services, national and international ceremonial events, engagements with faith leaders, communities and charities across the country and most importantly, the support of soldiers and their families.

The successful candidate will fulfil the following responsibilities:

Support the Chaplain General (2*) and Deputy Chaplain General (1*) to make the most effective use of their time by managing their diaries, organising meetings, preparing briefs for meetings and undertaking routine administration such as arranging travel.

Play a key role as a coordination point for CG, DCG and the RAChD, the wider Army and external bodies/stakeholders. Disseminating corporate messages and coordinating input into business and corporate processes such as security, health and safety, and information management.

Main responsibilities will include:

Effective and efficient diary management and coordinating visitors
Engaging with the Tri-Service Chaplaincy Chiefs’ Outer Offices, Endorsing Authorities, National Faith Bodies, charities and other external organisations
Coordination and provision of briefing material and meeting packs plus, pre-briefs with subject matter experts as appropriate
Provision of meeting rooms and organisation of attendees
Arranging and coordinating all travel requirements, including business cases, in accordance with departmental policy
Execution of all information management tasks including appropriate oversight of official, sensitive and other classified information
Monitoring and managing the principals’ correspondence in accordance with the Line Manager’s requirements and local protocols
Managing the Directorate’s mail
Managing the arrival of new staff into the Directorate
Supporting the overall team’s business outputs (time allowing) whilst ensuring this does not impact on supporting your principal
