Summary
Allstaff Office Division are delighted to bring to the market the role of Administrator for well established company based in Hillington, Glasgow.
Key Duties & Responsibilities
Administration -
· Record, print, and distribute drawings; update Dropbox and liaise with Contracts Managers for distribution lists.
· Prepare site Health & Safety folders.
· Answer and manage front door enquiries and telephone calls.
· Maintain the site archive filing system.
· Manage airport passes for Glasgow, Aberdeen, and Edinburgh airports, including tracking parked passes and ensuring none are lost.
· Update holiday spreadsheets and the resource tracker.
· Ensure plotters and printers are stocked with adequate paper daily.
· Order stationery and maintain tidy stationery cupboards.
· Support Site Managers with site start-up preparations, including laminating signage.
· Carry out general typing, photocopying, and other ad hoc administrative duties as required.
· Organise the annual uniform and diary order.
· Book annual servicing for workshop machinery.
Health & Safety Administration
· Chase completion of weekly and monthly Health & Safety checklists and file appropriately.
· Chase and record annual subcontractor insurance documentation.
· Email staff regarding improvement database close-out dates.
· Update safety observations within the improvement database.
· Maintain up-to-date training files and arrange required training bookings.
Attributes
· Excellent verbal and written communication skills.
· Computer literate, with proficiency in Microsoft Office.
· Ability to work independently and use own initiative.
· Enthusiastic, proactive, and eager to learn.
Salary
· £24,479 – £27,000 DOE
Working Hours
· Monday to Thursday: 8:30am – 4:30pm (45-minute lunch break)
· Friday: 8:30am – 3:15pm (45-minute lunch break)
Holidays
· 20 days per year plus 9 statutory holidays, pro rata.
After 5 years of completed, continuous service, in addition to bank and public holidays the employee's annual holiday entitlement will increase to 25 days.
