-Job Title: Security Post Room Supervisor (X-ray specialist)Location: London Canary Wharf Salary: £17.95ph
Shift Pattern: Monday to Friday 8am to 5pm, 45 hours a week (may require working Out of Hours weekdays and weekends day and nights)
-Previous Corporate Security experience - Minimum 2 years
-Previous loading bay experience required; X-ray machine training is essential.
Job objectives and responsibilities
-Supervise and manage post room staff
-Manage, process, sort, distribute and collect incoming and outgoing mail
-X-ray screening
-Post Room systems and equipment
-Ensure excellent customer service delivery

-Oversee and manage staff training, performance and appraisals

Main Duties include, but are not limited to
Operations
-Support the Back of House/Logistics manager
-Process, distribute, collect all post deliveries and collections
-Manage continuity and consistency of service delivery
-Deliver high standard of customer service
-Manage & maintain all post room systems, equipment and supplies
-Manage staff training and development. Arrange suitable and required training
-Manage staff performance in accordance with Mitie HR policies and procedures
-Propose innovations and initiatives to improve service delivery, performance and reduce costs
-Conduct staff appraisals, Return to Works and regular 1-2-1s meetings
-Staff investigations and disciplines in accordance with Mitie HR policies and procedures
-Ensure KPI's and SLA's for the post room are always met or exceeded
-Ensure all health and safety policies and procedures are adhered
-Report, record and manage all health and safety matters (near misses, RIDDOR, accidents, incidents)
-Uphold great working relationships with Shard Quarter, service providers, contractors, occupiers and stakeholders
-Ensure staff display high standard of personal appearance and uniform including PPE
-X-ray screening of all post
-Clearly and accurately record data, produce reports and spreadsheets
-Effectively communicate with Mitie staff & management, service providers, client and stake holders
-Manage all systems and equipment, maintain full functionality and availability. Effectively report, address and resolve any faults, issues, repairs
-Maintain a clean, clear and tidy area at all times
-Effectively respond to and manage incidents & emergencies
-Periodically review, assess and evolve existing procedures, documentation and processes
-Respond proactively to any reasonable management request
-Understand and adhere to Mitie and client policies and procedures
-Full knowledge and application of compliance documentation - Assignment Instructions, Standard operating procedures, risk assessments, manuals, policies & procedures.
-Ensure staff are fully conversant of compliance documentation
-Manual handling
-Ensure PPE is utilised
-Assist loading bay team when required
-Conduct Patrols of back of house area
Person Specification
-SIA Licence
-First Aid Trained
-X-Ray Trained - Provide certification
-Ability to problem solve under pressure and multitask
-Excellent written and verbal communication skills
-Microsoft Office, Outlook, Word, Excel competent
-Excellent interpersonal skills, able to work on own initiative and as part of a team
-Highly responsive and proactive, able to own tasks from start to finish
-Take responsibility for own actions
-A willingness to learn and develop
-High standards of professionalism
Health and Safety responsibilities
-Follow Group and company policies and procedures at all times;
-Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
-Use all work equipment and personal PPE properly and in accordance with training received;
-Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;
the post holder has and will maintain an excellent record of attendance and timekeeping.
