To undertake a development programme leading to an Apprenticeship Standard as part of an employed apprenticeship within the agreed timescales. To actively participate in a development plan which will be regularly reviewed with the line manager and training provider and progress to achieving the end point assessment. To provide clerical support to the R&I Team and to promote good working relationships consistently. Under supervision develop a working knowledge of all administrative aspects of the Research and Innovation department. Support the team with day to day administrative and data entry requirements. Develop the knowledge, skills and competencies required for data entry and business administration. Assisting in Team events and away days. To assist with Archiving requests and processes. To assist with amendment / modifications processing. To gain confidence in face to face, email and telephone communication To assist to produce letters, minutes, reports and presentation work as required. Photocopying, producing and processing documents, letters, emails, minutes and reports when required. The post holder must have a good level of keyboard skills and be able to use Microsoft Office programmes. To maintain the electronic diary and manage appointments. To help to organise internal and external meetings, book venues and communicate with delegates. To support the efficient running of meetings once organised. To act as receptionist / first point of contact for the department To help deal with enquiries in a pleasant and helpful manner & communicate relevant information and refer to others in the department as appropriate. Develop a flexible / adaptive approach to your work in order to work towards deadlines. To help maintain databases of research activities (Edge, Florence) To assist external agencies in a professional manner. To undertake mandatory training and development sessions as required / requested. Promote the image of the Department, ensuring professional attire and presentation is maintained. To be responsible for requesting annual/special leave, and reporting sickness/absence. Mail is sorted, redirected, acknowledged and/or answered appropriately within prescribed timescales. To assist with the organisation of meetings, conferences, seminars and workshops, including securing appropriate venues, speakers and facilitators, devising programmes and delegate packs. To attend meetings as required, take notes, report back if necessary and compile minutes. To help to produce data and information as required for research and audit purposes. Assist the support needs of the team are met, including the ordering of equipment and supplies. Develop high quality administration and data management standards and aim to ensure these are maintained at all times, particularly when working under pressure. Documents and information is well managed, handled and exchanged with care, accuracy and maintaining confidentiality. To assist the members of the R&I Team on the management of paperwork through the research governance approval procedure. This will involve tasks such as photocopying, collation of submission of documents, data entry onto databases. To assist with study archiving requests. To engage and communicate with the apprenticeship team and management team on a regular basis to discuss any issues and progress. The description and personal specification are an outline of the tasks and responsibilities required of the role. The holder will carry out any other duties as may reasonably be required by their line manager.
