Summary

To work within the scope of the role acting as a secretary to include prioritising effectively To provide comprehensive administrative, clerical and typing support to consultants and their teams. To deal with all relevant telephone calls and face to face queries relating to the service, ensuring patient focus is maintained and enquiries are handled in a courteous, tactful and prompt manner, and respecting patient confidentiality at all times, ensuring that the queries are appropriately directed and prioritised. Coordinates on clinic management and utilisation including cancelling/rescheduling when necessary, including direct patient communications. Managing spreadsheets for patient diagnostic tests ensuring they are completed within set time frames. Ensuring all relevant clinical information is available for the Consultant and CNS teams on ICARE prior to patient appointments including up to date patient details. To manage incoming correspondence; mail, paper and electronic, responding and prioritising appropriately and promptly. Manging the generic department email inboxes Draft and respond to routine and ad hoc requests for information from staff within the department and across the Trust To maintain filing systems that facilitate the effective running of the department. To cross cover within the team, including periods of absence and high demand. Stock control e.g. ordering of stationary and ensuring adequate stock is always available To monitor clinical rotas and adjust clinics accordingly on iCare To take an active role in initiatives to improve the administrative service provided to managers and clinicians, and the service received by patients and their families. To open, date stamp and distribute post as requested. To file investigation results in appropriate health records and draw relevant Medical Secretarys attention to all incoming results as necessary. To locate, retrieve and book patient case notes in and out of the department as required. To utilise a range of systems for data entry and reporting/processing including Microsoft packages, ICARE, SBS, ERS. To take an active role in initiatives to improve administrative service provided to managers and senior clinicians, and the service received by patients and relatives. To have an awareness of the referral to treatment (RTT) pathway journey in order to be able to respond to patient/carers enquires appropriately. To have an awareness of the outreach clinics and wait lists to be able to respond to patient/carers enquiries appropriately.
