Job Overview

This role offers an opportunity to join an experienced and versatile team delivering first-class administration services in support of world-class Armed Forces personnel.

Position Overview

The position is based at HMS Sultan in Gosport and provides effective and efficient administrative support to the Safety, Health, Environmental Protection and Sustainable Development (SHEP SD) team. The role is part-time, working 30 hours per week.

Main Duties

The postholder will act as a focal point for administration services, promoting best practice and ensuring delivery of the contracted requirements to the appropriate quality standards. Responsibilities include coordinating and greeting all visitors, arranging site entry and escorting visitors where necessary. The role also involves updating records, plans, databases and the SharePoint site, as well as producing reports.

In addition, the successful candidate will organise and attend meetings, prepare agendas and produce minutes, maintain diaries, and liaise with both internal and external agencies. All activities must be carried out in full compliance with current Health and Safety regulations and General Data Protection Regulations. The role may also require undertaking additional tasks as determined by the Line Manager, including providing support or cover for other administrators when required.

The ideal candidate will be well organised, accurate, and confident, with credible communication skills and the ability to contribute at all levels. They will be versatile, intuitive and professional, demonstrating good judgement alongside absolute integrity and discretion. The role requires a proactive and persuasive approach when necessary, with the ability to respond to changing business needs and customer demands while remaining calm under pressure. The successful applicant will be self-motivated, reliable and well presented, consistently reflecting MITIE's company values in a positive manner.

Essential Skills and Experience

Applicants should have a proven track record of delivering high-quality administrative services, including customer-facing experience. Strong verbal and written communication skills are essential, with the ability to build effective working relationships. Sound administrative experience, strong organisational skills, integrity, flexibility and the ability to offer creative and practical solutions are also required. The role demands IT literacy, with a good working knowledge of Microsoft Office applications. Knowledge of the MOD is desirable, along with a good standard of education.

Additional Information

The role requires MOD security clearance and a Standard DBS check. To meet national security vetting requirements, candidates will normally need to have been resident in the UK for at least three years for Counter Terrorist Check clearance, five years for Security Clearance, and ten years for Developed Vetting prior to application. All Developed Vetted posts require applicants to be UK nationals. Proof of the right to work in the UK is essential, and the successful candidate will be required to wear approved company workwear.
