Summary


The postholder willbe responsible forproviding an effective and efficient servicein line with department and Trust standards policies and procedures. Duties will include coordinating diaries, reception, answering enquiries both through email and telephones, appointmentbookingsandbilling support. The successful candidate will alsobe requiredto provide administrative support, as well as performing other administrative dutiesincluding taking payment forself-fundingpatientsand providing operational administrative support to the Practice Manager.Occasionally, the successful candidate maybe requiredto provide administrativeassistanceto cover clinics taking placein the evening andover the weekend.


The role will also involve managing and overseeing thefinancialadministrativecomponentof the Practice management softwarei.eprocessinginvoicesforself-fundedand insured patients,collectingpatientpaymentsandmonitoringand updating operational data quality.

• To provide reception duties which will include assistingservice users, visitors and staffin a helpful and tactful mannerand allowing access to the building

• To deal professionally and sensitively with telephone enquiries, taking messages and using initiative to follow up actions as appropriate

• To provide proactive and comprehensive administrative support to ensure that all office procedures are carried out efficiently and where necessary initiate new ones bringing ideas to the teamin order tomaximise effective working

• Toassistand reassure patients who may be distressed or confused

• Togenerate and issue invoices to patients for clinical services, ensuring that they areaccurateand paid on time.

• Maintainaccuratebilling records, including payment history and upcoming payments

• Follow up on outstanding invoices and work with clients to resolve payment issues.


• Ensure that urgent matters are brought to the attention of relevant staff quickly and accurately.

• Updating the patient record systemi.euser contact details, outcome of appointments, processing registration forms

• Taking and scheduling deliveries

• Arranging interpreters whererequired

• To take care of and ensure that all equipment and physical resources ismaintainedand in working order

• To order supplies and follow up with suppliers

• Toassistwith Health and Safety compliance



South London and Maudsley NHS Foundation Trust(SLaM)providethe widest range of NHS mental health services in the UK as well as substance misuse services for people who are addicted to drugs and alcohol. SLaM employ around 5000 staff and serve a local population of 1.1 million people. We have more than 230 services including inpatient wards,outpatientand community services. Currently, provide inpatient care for approximately 5,300 people each year and treat more than 45,000 patients in the community in Croydon, Lambeth,Lewishamand Southwark.


The successful candidate will work closely with Consultant Psychiatristsand Psychological Therapistswho offer private assessments and treatment from the service through a practising privileges arrangement. The post holder will proactively build excellent working relationships with all colleagues involved in the service as well as external stakeholders.


The post holder will deliver excellent customer service at all service touch points including enquiry, bookings, arrival, departure and during service delivery, to ensure patients, families and carers receive an outstanding experience.
