Our client is seeking a highly organised and proactive Service Coordinator to join their team in Nottingham. This role plays a key part in ensuring the smooth running of HVAC services, coordinating technicians, and delivering an exceptional experience for clients.
Are you the right person for the job?
• Service coordination, scheduling, or customer service experience (HVAC or construction industry preferred)
• Strong organisational and multitasking skills
• Excellent communication and interpersonal abilities
• Proficiency in MS Office and service management software (e.g., ServiceTitan, Joblogic, or similar)
• Ability to work under pressure and adapt to changing priorities
• High school diploma or equivalent (minimum)
• Associate’s or bachelor’s degree in business administration, facilities management, or related field (preferred)
• 2+ years in an administrative, scheduling, or coordination role
• Knowledge of HVAC systems and terminology (advantageous but not essential)
What will your role look like?
• Coordinate and schedule service calls, preventive maintenance, and emergency repairs
• Dispatch HVAC technicians based on skillset, availability, and location
• Maintain service records, job logs, and customer information in company systems
• Communicate with customers to confirm appointments, provide updates, and follow up on completed work
• Track and manage parts orders, deliveries, and inventory for scheduled jobs
• Support the service manager with admin tasks, reporting, and workflow optimisation
• Ensure compliance with health, safety, and company standards
• Handle customer inquiries and resolve service-related issues promptly and professionally
