Job objectives and responsibilities
The Assistant Compliance Manager is responsible for assisting the Compliance Manager in ensuring the company's adherence to all relevant internal and external laws, regulations, and standards. They collaborate with various departments to develop and implement compliance policies and procedures. They also monitor daily activities to ensure compliance and adherence to approved standards whilst managing performance.
Main duties
Key Responsibilities
Assisting the Compliance Manager:
· Providing administrative and technical support to the Compliance Manager.
· Implementing and updating compliance policies and procedures in cooperation with the Compliance Manager.
Monitoring and Evaluation:
-Monitoring daily operations to ensure compliance with laws, regulations and contract requirements.
-Conducting periodic compliance assessments and providing reports on findings and recommendations.
-Undertake internal audits and inspections for activities on site
Training and Awareness:
-Organising training programs and workshops to raise employee awareness of compliance policies and procedures.
-Providing guidance to employees on compliance matters.
Investigations:
-Participating in investigations related to compliance incidents and recommending corrective actions.
-Monitoring the implementation of corrective actions and ensuring proper closure of cases.
Coordination with External Parties:
-Cooperating with regulatory and governmental bodies to ensure compliance of operations with legal requirements.
-Develops relationships with clients, stakeholders, employees, and other colleagues, effectively promoting a positive and collaborative working environment.
-Brings to life the Mitie values on a daily basis ensuring they & their teams demonstrate the exceptional every day.
Person Specification
Essential:
· Full driving license.
· Must either hold or be eligible to obtain UK Security Check (SC) clearance
Desirables:
-3 to 5 years of experience in compliance or a related function. ISO9001 Internal Auditor qualification desirable.
-Strong knowledge of relevant laws and regulations in the field of work, including and not limited to ISO 45001 & 14001.
-Clear understanding of Integrated Management System/s and CAFM.
-Knowledge of CDM (15), Hard and Soft Services.
-Project Armada lead for external audits.
-Strong analytical skills and problem-solving abilities.
-Excellent communication skills and the ability to interact with all levels within the company and customer focused.
-Ability to work under pressure and meet deadlines.
-They possess an intermediate knowledge level of all Microsoft office packages. Fully competent in the use of PCs and other types of technology
-Has developed excellent written, verbal communication and negotiation skills to support them in their role.
-Fully capable of understanding and maintaining the confidentiality across the site and respecting the needs of all stakeholders.
-Understands the organisations goals & objectives and can bring these to life in theirs/their team's daily activities.
-Works well under pressure to meet the challenging deadlines for both operational and people aspects of their roles
-Demonstrates forward thinking/planning, with a positive 'can do' attitude and can flex their style to meet the needs of the business.
-Can effectively plan and manage own workloads, however, understands when to ask for support when needed.
-Strong financial acumen with the ability to manage costs and ensure budgets are met
-Represents Mitie and the client always in a professional, courteous and confident manner
-A team player with the ability to lead by example through operational excellence, strong interpersonal skills and the ability to interact at all levels.
Health and Safety responsibilities
· Follow Group and company policies and procedures at all times;
· Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
· Use all work equipment and personal PPE properly and in accordance with training received;
· Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;
Information Security
· Ensure compliance with Mitie's information security procedures in all activities;
· Proactively identify and report security risks to your manager;
· Report actual and suspected security incidents;
