Murray Recruitment are recruiting an Administrator for our client based in Elderslie.
Role Overview:
This full-time, permanent position plays a key role in ensuring the smooth and efficient running of administrative operations, supporting both the management team and contractors. The successful candidate will be responsible for coordinating reactive works, maintaining accurate records, and delivering a high standard of customer service in a fast-paced environment.
Key Responsibilities:
Distribute reactive works to Contract Managers.
Process all purchase orders within agreed timescales.
Undertake filing duties, including job sheets, purchase orders, and all related paperwork.
Log all reactive and planned tasks accurately into the CAFM system and create job packs.
Update the CAFM system with operative attendance, arrival and departure times, and completion details.
Liaise with contractors, arranging attendance dates to meet SLA requirements and ensuring completion information is recorded.
Handle a high volume of incoming calls, answering promptly, professionally, and courteously in line with agreed standards.
Provide updates to clients on general queries.
Skills & Experience:
Previous experience in an administrative role, ideally within a facilities management or service-led environment.
Strong organisational and time management skills with the ability to prioritise workload effectively.
Excellent communication skills, both verbal and written.
Proficient in using Microsoft Office applications and comfortable learning new systems, including CAFM software.
Ability to work accurately under pressure and maintain attention to detail.
Confident in handling high call volumes while maintaining professionalism.
