We are seeking a confident and proactive Facilities Coordinator to join our team at a well-established site, where a strong on-site team and a fantastic working relationship with the client are in place.
Job Description
As Facilities Coordinator, you’ll take ownership of delivering day-to-day facilities operations, ensuring services run smoothly, efficiently, and to a high standard.
Based in a modern, well-managed building, you’ll be part of a professional and supportive team committed to excellence.
This is a great opportunity for someone looking to grow their facilities management experience within a stable, long-term contract.
Key Responsibilities
Provide first-line management of on-site FM staff (e.g. cleaners, receptionists), supporting the Regional Operations Manager with HR processes.
Act as FM lead for Fire Safety Management and represent FM at site HS&E and Security meetings where applicable.
Liaise regularly with ISS Maintenance to monitor PPMs and manage reactive maintenance via Tririga.
Maintain and action Work Orders, coordinate with contractors or ISS Technical, and ensure customer satisfaction.
Oversee site security procedures, maintaining documentation such as incident logs and continuity plans.
Support budget adherence by raising POs, reviewing suppliers annually, and managing internal office supplies.
Act as the primary FM contact point, managing inductions, ID/access card issuance, meeting room setup, and internal relocation.
Professional and Personal Competencies/Qualifications
Strong communicator with the ability to engage confidently across departments and management levels
Proven experience building and maintaining positive client relationships
Good understanding of Health & Safety practices, including working to SLA targets
Comfortable working in a facilities or operational environment
IOSH or COSHH awareness is beneficial but not essential
Proactive, approachable, and able to work independently or as part of a wider team
Organised and responsive to changing site or client needs
