· Monitor the ward's incoming email inbox, responding to queries promptly and professionally.
· Work closely with the Senior Administrator,Housekeeper, and multidisciplinary ward staff, assisting with administrative tasks for both the unit’s Inpatient and Outpatient services.
· Assist the Senior Administrator with the processing of patient referrals received into the unit in a timely manner.
· Updating patient contact details and other information on patient database.
· Take responsibility for the accurate scanning and data entry of patient information into the ePJS system.
· Coordinate and schedule meetings through various platforms, including Microsoft Teams, and Microsoft Outlook, ensuring all necessary parties are informed and prepared.
· Taking notes at the meeting, uploading to EPJS and following up any actions.
· Handling request for patient sensitive information and/or data protection requests in accordance with relevant regulations.
· Demonstrate flexibility and the ability to self-prioritize tasks effectively.
· Participate in training and professional development opportunities as required.
· Undertake other duties deemed relevant by the service and as negotiated with the Senior Administrator and Ward Manager, supporting the overall effectiveness of the ward.
We are seeking a highly motivated and organized individual to join our National Psychosis Unit at the Bethlem Royal Hospital as a full time, substantive Administrator.
This is an exciting opportunity to joint to a busy, supportive, and dynamic multidisciplinary in/outpatient service serving South London and Maudsley and the successful candidate will work closely with the Senior Administrator, Ward Manager, Business Manager and other team members, providing top-tier administrative support.
The role will involve liaising with both internal departments and external agencies to ensure the seamless delivery of high-quality inpatient care, patient flow and service management. Creative and dynamic ways of working are desirable as we are also looking to evolve the service and improve the service we provide.
Strong interpersonal, communication and organisational skills are essential, as the post holder will be required to work effectively and sensitively with a diverse range of individuals, including patients, colleagues, subcontractors, and external partners.
The post holder should be flexible to the needs of the directorate as there might be a need to work across the services and provide administrative support to other wards or services within PMOA

The National Psychosis Service (NPS) is a clinical-academic tertiary service offering innovative individualised evidence-based multidisciplinary strategies to help those people with complex psychosis. The service aims to enhance quality of life through tailored treatments and promotion of recovery thus reducing the need for high intensity placements and the risk of readmission.
Internationally renowned expertise in resistant psychosis is provided by a team of dedicated clinicians offering comprehensive medical reviews alongside innovative, bespoke treatment approaches.
The service aims to enhance quality of life through collaborative working towards recovery. We regularly audit and publish our service outcomes and receive excellent feedback from our patients and their families.
As our patients may be a long way from home, we aim to make admissions as short as possible and communicate regularly with carers, the referring team and CCGs or CSUs to plan care and facilitate timely discharge.
