Summary


The post-holder will be responsible for the provision of a high quality administrative service for a busy Living Well Centre providing administrative support along with other administrative colleagues in order to support the Team by undertaking typing of appointment letters and other suitable administrative tasks as well as providing a high quality service.




They will need to be able to prioritise their workload and use their own initiative when dealing with queries from health professionals and members of the public, promoting the professional and caring image of the services.

Facts and Figures:

South London and Maudsley NHS Trust provides a full range of mental health services to the people of Croydon, Lambeth, Southwark and Lewisham as well as national specialist services. It has circa 7,000 staff and a budget of £170 million.

Being part of a multidisciplinary community Mental Health Team the post-holder will need to be someone with good communication, interpersonal and organisational skills, and who has a flexible approach to work and enjoys working as part of a team.



1)To deal professionally with queries from visitors and telephone callers, ensuring messages are delivered accurately and efficiently. Resolving local issues and using initiative to take follow-up action when appropriate. Record messages on electronic Patient Journey System (ePJS) when applicable.

2)To provide administrative support to members of the Lambeth Teams. This will include typing and sending emails, as directed by the Senior Team Administrators, to support the admin team with formatting clinical letters, sending appointment letters, in an accurate and timely manner.

3)To be the point of contact for all doctor’s appointments, keeping clear records of appointments made. To keep clear records of bookings for consulting rooms as well as meeting rooms.

4)To order clinical and non-clinical items for the teams, liaising with the relevant administrators to ensure such deliveries are signed for by the appropriate team.

5)Health & Safety: To complete the Health & Safety Log on a monthly basis to report all problems with the infrastructure of the reception area and offices to the facilities department. To work closely with administrators to report and record all maintenance issues in a timely manner, following up outstanding requests as required.

6)To be a Fire Warden and undertake the necessary training every two years.

7)Training: To ensure all mandatory training is kept up to date and to participate in any additional training and developmental needs as required by the Business Manager.

8)Assist with the induction of new staff to the team and to assist with other staffing set ups as necessary.

9)To work in a flexible and open manner in line with the needs of the service. To attend regular supervision and annual appraisal meetings. To undertake any other duties considered relevant by the management of Lambeth LWC Services appropriate to the banding of this post, as negotiated with the Business and Administration Manager.
