The role of Records and Information Training Assurance Manager is a vital part of the Information Management team at Culdrose. You will report to the Information Manager and assist with delivering their policies, and the role is split into two separate areas of responsibility.

The Records Manager element will be responsible for the management of RNAS Culdrose’s records in both paper and electronic form. As a Records Manager you'll provide access to accurate records for a range of operational and strategic purposes, and will ensure that legal obligations for the creation and retention of records are met. This includes controlling the number of records created and stored, and identifying which records are to be preserved for historical and research purposes and which should be destroyed.


The Information Training and Assurance element will be responsible for the supporting the Information Manager in the management and development of Culdrose Intranet sites and Communication channels. Also, to implement, deliver, and maintain Information Management governance in conjunction with the Senior Information Officer (SIO) and Information Manager (iMgr). This includes providing a governance and assurance function (including training) for IM related work and functions, with support from the Information Manager to ensure good practice is promoted to maintain compliance with statutory obligations.

Main responsibilities

Your main day-to-day activities will be:

Ensuring compliance with the Public Records Act.
Implementing a records life cycle, ensuring adequate retention and disposal as and when required.
Overseeing Machinery of Government changes, ensuring new records are brought into the department securely and correctly.
Developing and embedding best practice records management policies and procedures.
Overseeing sensitivity review processes for physical and born-digital content.
Helping responses to information requests under the Freedom of Information Act 2000 and the Environmental Information Regulations 2004.
Conducting file searches across archive holdings.
Liaising with stakeholders to identify training gaps or business needs.
Education and Training delivery as part of Training Assurance.
Support the Information Manager in the management and administration of Corporate Storage Locations. This includes Microsoft SharePoint and Teams sites, managing permission settings, site set-up and safeguarding content on OFFICIAL, and may include SECRET.
Supporting the Information Manager in conducting information audits to make sure assets are safeguarded and the appropriate controls have been applied.
Support the Information Manager in developing and updating key intranet sites.
Manage and process SharePoint amendments, permission changes, and site editing.
Providing advice on information management issues and promoting best practice relating to information management, including adherence to JSP441 and JSP440.
Collaborating with teams and networks across the organisation to understand concerns, build consensus and help KIM messaging ‘land’.
Highlight any compliance issues to the iMgr.

Secondary responsibilities

Supporting the Information Manager in developing appropriate retention and disposal schedules for electronic content.
Ensuring information management processes are kept up-to-date and reviewed regularly to ensure they’re fit for purpose under the latest KIM guidelines.
Any other task or duty requested in line with grade identified.
Local Data Protection.
Any tertiary duties suitable for the role and grade.

The list above is not exhaustive, and there will be some additional tasks or duties held within some of the points above in line with the grade identified, including acting as the Deputy Information Manager in their absence.

This role will initially require the post holder to undertake a period of on-the-job training within Culdrose’s Information Management team and full support will be provided. You will become familiar with systems and procedures and build competence in specific aspects of the role and environment.

The post may require some flexibility depending on the nature of projects and current priorities.
