Are you highly organised, adaptable, and seeking a role where you can make a meaningful impact? Join the Welfare Rights Service as a Business Services Assistant, where you will work closely with operational managers and staff to provide essential administrative support, helping the team deliver vital welfare services to the community. You’ll play an important part in ensuring the team can work efficiently and effectively.
Key Responsibilities:
- Develop and maintain both electronic and manual filing systems, document management, and record-keeping in line with service standards.
- Embrace and respond positively to new and improved ways of working, helping to enhance service efficiency.
- Assist with data analysis, manipulation, and interpretation following clear procedures to provide accurate information.
- Monitor financial records and follow ordering procedures to ensure necessary resources are available to meet service needs.
- Organise and co-ordinate daily tasks, ensuring that incoming communications are handled promptly and efficiently.
- Assist in compiling statistics and information for management reports and help reconcile accounts systems.
- Co-ordinate routine bookings and arrangements for internal and external events, preparing materials and providing support as needed.
- Provide meeting support, including recording minutes and ensuring that action points are followed up.
- Provide updates on the progress of claims and assist with the completion of claims processes.
- Respond to enquiries from the public and internal stakeholders, delivering high-quality customer service through established processes.
- Collect, collate, and process sensitive information in line with confidentiality and data protection guidelines.
Key Relationships:
- Report directly to the Business Services Officer and work under the direction of the Business Services Manager.
- Support a range of staff, including operational employees, managers, service users, elected members, and other departments within Derbyshire County Council, such as the Business Centre.
Skills and Experience:
- Excellent organisational skills with the ability to handle multiple tasks and prioritise work effectively.
- Experience in data management, maintaining filing systems, and document control.
- Sound knowledge of financial procedures and resource monitoring.
- Strong communication skills, both written and verbal, with a professional approach to handling enquiries.
- High level of attention to detail and ability to work with confidential information.
- Competency in IT systems including Microsoft Office including Microsoft Teams & Excel spreadsheets and ability to use bespoke software
- A positive attitude towards process improvement and adaptability to new ways of working.
- Experience in a customer-facing role is beneficial.
