Duties & Responsibilities
• Managing day to day administrative processes of the PPI office to ensure a smooth and effective service
• Maintaining and managing diary of PPI Senior Co-coordinator and PPI team manager. Checking emails daily to assist both senior managers with prioritizing tasks and drawing their attention to urgent matters.
• To run the Experience of service questionnaire through care notes, analyzing the qualitative data and reporting of findings to the PPI senior coordinator and PPI team manager to enable informed decisions at the CQRG meeting.
• To develop ideas of analyzing qualitative feedback by building strong working relationships with the informatics team to build a Reporting services software using Semantics.
• Provide budget support for PPI manager and be responsible for monitoring of expenditures against PPI yearly budget. Advising PPI manager when necessary.
• To ensure the smooth process of service users on interview panels by creating 5 step implementation plan to include working relationships with Human resources, Finance, senior clinicians, Service users and PPI team.
• To implement policies and propose change to practice and procedures of service users on interview panels.
• To Create and analyse qualitative feedback on service users involvement on zoom interview panels and report findings to Senior PPI Co-coordinator and PPI CYAF lead. Supporting and implementing areas of change.
• To Co-ordinate and set up meetings including Trust Wide forum and Team meetings. Prepare and compile agendas, presentation of material via zoom, take and produce accurate minutes and action items when necessary. Also, to manage attendance at meetings and monitor apologies given.
• To create and develop service user interview training presentation slides and support PPI Co-coordinators when necessary.
• To create and design service user involvement newsletters and fliers using InDesign software and work in collaboration with the communications team when required by the senior PPI Co-coordinator.
• To set up and organise service user events both internal and external. Ensuring food, drinks are available.
• To process payment for service users on involvement projects.
• To support the Senior PPI Co-coordinator on ad-hoc projects and attending meetings as and when required.
Management and Leadership
• To provide support with training and induction of new and existing staff on latest technologies used in the workplace and key colleagues working in collaboration with the patient and public involvement team.
• Participate in the recruitment process of hiring new staff using knowledge and expertise derived from being BAME representative and Co-coordinating service users on interview panels.
Setting Direction and Service Improvement
a) Research and Development
• Carry out web-based and publication research
• Actively support and contribute to the development of PPI projects.
b) Policy and Service Development
• To support the senior PPI Co-coordinator with updating the remuneration policy of patient involvement.
• To attend Pan London forum and discuss and agree on best service user practices specifically with patients on interview panels.
Continuous Learning and Development
• To demonstrate a commitment towards own personal development by attending conferences and courses relevant to the role.
• To shadow PPI Co-coordinators on various projects for personal development
Other Duties
• To maintain confidentiality of all written and verbal communication and liaising with senior managers when necessary.
• According to trust policy monitor Clinical Governance administration, ensuring that patients are covered by confidentiality and safety documents and that patients involved are aware of information governance processes.
