Summary

Role overview

The Role

The Executive Assistant provides comprehensive administrative support to the CEOs and COO of Payplan. This requires superb time
management skills and be able to act without constant guidance. The Executive Assistant must be able to work under pressure at
times to handle a wide variety of activities and must be a swift multitasker who can be responsive to a somewhat unpredictable
calendar. It is necessary to be extremely organised and be able to think independently using initiative to solve problems.



Responsibilities of the role:

* Provide comprehensive support to the CEOs and COO including: full inbox and diary management, travel and expenses, etc.
* Responsible for drafting, producing and amending correspondence, documents, reports, agendas and minutes etc using copy and
audio skills where required
* You will work on your own initiative on many occasions related to the overall objectives. This may involve the collation and
analysis of data and production of presentations
* This role will handle many items and documents which are confidential and the utmost discretion is required
* You are expected to understand the functional structure and their place in the overall organisation along with the respective
strategic priorities to ensure timely delivery and correct prioritisation
* You will support new employees joining the team both within their department and within the Executive Assistant team.
* Help to manage projects requesting information from stakeholders and chasing actions
* Organise and facilitate meetings within the PayPlan business
* Assist with Executive visitors ensuring that their time on site is smooth and problem free
* Completion of any other ad hoc duties the CEO’s/COO request



Capability, Knowledge And Experience

* Proven experience working at C-suite/exec level in a similar EA role
* Excellent communication and stakeholder skills
* High attention to detail and accuracy
* Flexibility and agility: responsiveness to change and have availability as and when the business requires it
* Excellent diary management, administrative and organisation skills
* Ability to prioritise within an ever-changing and fast-moving environment
* Good networker – building and maintaining strong working relationships at all levels.
* A good understanding and experience of all Microsoft packages
* PowerPoint skills and the ability to produce high level, creative presentations.
* Must be able to convey information accurately and concisely.
