We are looking for an organised, proactive Executive Assistant to join the Group Office at Norfolk and Waveney University Hospital Group. You will provide high-level administrative and secretarial support to the Group Chief Executive and the Group Chair helping them use their time effectively and stay focused on strategic priorities.
This is a fast-paced role for someone who can handle confidential information with discretion, manage competing demands calmly, and work with sound judgement and initiative.
If you enjoy building positive relationships, getting the detail right, and making things happen behind the scenes, we would love to hear from you.
You will manage complex and competing priorities, providing end-to-end support for Group Chief Executive and the Group Chair including proactive diary management (often across multiple diaries), organising meetings and events, and ensuring agendas, papers and briefing packs are prepared on time.
You will take accurate minutes, track actions to deadlines, draft and quality-assure correspondence and briefings, and act as a first point of contact for internal and external enquiries using discretion and initiative. The role also involves producing high-quality documents and presentations to corporate standards and supporting discrete projects as required.
Examples of decisions you will make include: (1) prioritising and reshaping diaries and meeting requests based on urgency, strategic importance and stakeholder considerations; (2) deciding what information is needed to brief senior leaders for upcoming meetings and chasing contributions to meet deadlines; and (3) resolving routine enquiries and issues on behalf of senior leaders, escalating only when appropriate.
The newly formed Norfolk & Waveney University Hospitals Group (NWUHG) is placing people and culture at the heart of its transformation.
By working as one system, the Group is strengthening workforce development, improving staff experience and creating consistent, supportive leadership across all three hospitals. This unified approach enables better training, enhanced well-being support, and a stronger culture rooted in compassion, flexibility and continuous learning.
Focusing on people also supports national priorities - ensuring the workforce is skilled, adaptable and ready for the future models of care - and strengthens NWUHG's overall performance by improving qualify, resilience and sustainability.
Together, this creates a Groupwide commitment to making NWUHG a great place to work, with clear benefits for staff including:
Flexible working hours
Fast Track Staff Physiotherapy Service
Multi Faith prayer room at NNUH Colney Lane site
Discounted Gym memberships
Generous pension scheme and annual leave entitlement
Wagestream - access up to 40% of your pay as you earn it
Free Park & Ride service direct to NNUH Colney Lane site
Free 24 hour confidential counselling support
On-site Nursery at NNUH Colney Lane
On-site cafes offering staff discounts at NNUH Colney Lane
Support in career development
Flexible staff bank
Salary sacrifice schemes including lease cars, Cycle to Work scheme and home electronics
The postholder will be qualified to degree-level or have equivalent experience and will be required to assist senior leaders across a broad range of supporting duties, including complex diary management and organising meetings/events.
The role focuses on providing a comprehensive, high-level administrative and secretarial support function, requiring an appreciation of the demands placed on the Group Chief Executive and the Group Chair. The postholder must be able to work autonomously, manage discrete projects, respond to sudden and unexpected demands, and use sound judgement and initiative. They will also work as a member of the Executive Support team, contributing to individual and team objectives.
