Operational Responsibilities/Support to Departments 1. Assist with the regular review of Multidisciplinary Team Operational Policies and Procedures. 2. Supporting the Cancer Services Management team in the delivery of Cancer National Waiting times and Breaches workshops. 3. To support Cancer Services Management Team in delivering Cancer audits, COSD, staging and CQUIN 4. Responsible for investigating Breaches of the Cancer Waiting times and for providing the feedback to involved parties. 5. Responsible for producing the resulting Breach Reports, which are submitted to the CSU/CCG in accordance with reporting procedures. 6. Be responsible for monitoring abnormal cancer alerts received from Histology and Radiology (Z5 Code) services on a daily basis, ensuring timely and accurate follow-up actions are taken by each MDTC. Data Co-ordination and Tracking Cancer Patients 1. To Support MDT coordinators by having a full understanding relating to cancer and other waiting times. To ensure all suspected cancer patients receive prompt diagnosis, and to work with internal and external stakeholders to bring forward appointments required for further management of cancer pathway if necessary. 2. To update tracking systems daily to indicate whether suspected cancer patients have a benign or malignant diagnosis. 3. To work with Clinicians, Clinical Nurse Specialists, schedulers, diagnostic staff and other cancer data co-ordinators to ensure identification and recording of the Trusts newly diagnosed cancer patients. 4. To track all newly diagnosed cancer patients to ensure that they are treated within national timescales, and to work with staff from this Trust or others (ie Royal Marsden or St Georges) to book or bring forward appointments as necessary. 5. Ensure that Cancer MDT Co-ordinators at Royal Marsden and St Georges are aware of all patients being referred to these hospitals for first treatment. 6. To provide information for weekly reporting on patients receiving first treatment in the previous week and any patients breach the national targets. 7. To understand service provision for cancer patients within the Trust and associated flows of information about patients. This will include referral processes, treatment options, the Trusts computer systems and hospital notes. 8. To be aware of the development of relevant site-specific datasets, with regard to South West London Cancer Network and/or the NHS Information Strategy. 9. To work with Trust Clinicians and Cancer Clinical Nurse Specialists to ensure that data required for particular cancer types is collected and recorded on the appropriate databases. The post holder will be instrumental in the development of databases to capture information as service improvement requires. 10. To produce reports for clinicians and managers as required on specific cancer activity, waiting times and treatment outcomes. 11. To support cancer audits, redesign initiatives, and service improvement projects as needed, ensuring that all pathways are aligned with Best Practice Pathways 12. To assist with any other cancer data management as required. MDT Co-ordination Manage MDT Meeting Scheduling and Coordination: Take responsibility for scheduling MDT meetings in collaboration with the lead clinician, ensuring that the venue is appropriately booked, whether physical or virtual. Distribute the meeting schedule to all core and extended team members via digital platforms. Maintain an up-to-date and comprehensive diary of all scheduled MDT meetings, ensuring no overlaps or conflicts. Responsible for managing the CMDT list, ensuring the timely transfer of imaging and histology reports, and tracking patient outcomes. This includes coordinating the transfer of relevant diagnostic information to the appropriate teams and ensuring that all outcomes are accurately recorded and communicated Prepare Patient List and Documentation: Ensure all new cancer patients are discussed at MDT meetings by preparing a list of patients for each session. Gather necessary referral proformas, electronic documents, or patient details from MDT members or relevant teams. Distribute the patient list to core team members in advance via secure digital communication tools and ensuring all deadlines are met for timely review and preparation. Ensure Access to All Required Documentation: Take responsibility for ensuring all relevant documentation for patients is accessible in advance of meetings. This includes ensuring all necessary medical information, investigation reports, and relevant imaging from hospital departments (e.g., radiology, pathology) or external trust is readily available for discussion. Attend and Document MDT Meetings: Attend MDT meetings to support the smooth running of discussions and ensure all required records, such as attendance logs and MDT proformas, are completed by clinicians. Ensure that action points are clearly documented for follow-up, and patient records are updated accordingly in real-time. Ensure Efficient Handling of Case Notes and Documentation: After each meeting, ensure that all case notes, documentation, and digital files are returned to the appropriate locations, whether electronically or physically, in compliance with organisational protocols. To use Word and Excel proficiently to produce and manage documentation for MDT meetings, ensuring all materials are accurate, clear, and accessible Distribute MDT Outcomes Quickly: Ensure that the outcomes of each MDT discussion, including treatment plans and follow-up actions, are promptly shared with relevant staff members (POD, CNS) within one working day. o COVER Responsible for arranging weekly cover plans to ensure cross-functional support and cover for all MDT team meetings in the absence of colleagues, ensuring continuity and smooth operation of the team. Working Relationships: To ensure a coordinated approach to service delivery across Trust sites, fostering strong working relationships and seamless collaboration between teams. Peer Review Audit To lead in the preparation of evidence for Peer Review Visits as required, ensuring all necessary documentation is compiled and ready for assessment Managerial responsibilities To ensure that people management activity is handled effectively and in accordance with Trust Policies and Procedures, seeking advice and support as necessary, including: To have overall management responsibility for delegated members of the administrative staff, providing leadership and support and ensuring that they are managed in line with trust policies. This includes managing all sickness, disciplinary and performance issues for direct reports. Communicate sensitive and contentious information, such as sickness management and disciplinary processes, with professionalism, empathy, and clarity, ensuring staff understand the procedures and their responsibilities. Conduct all conversations regarding sickness, disciplinary, and performance matters in a confidential and respectful manner, following Trust policies and employment law, and always maintaining staff dignity. Provide clear guidance and support to staff throughout these processes, offering opportunities for staff to discuss concerns, understand next steps, and access appropriate support services where necessary. Liaise effectively with HR and other relevant departments to ensure consistent application of policies and timely resolution of issues. To be responsible and accountable for the recruitment, selection, induction, training and personal development of the above staff. Understanding of budgets and financial restrictions in NHS. To ensure staffing levels and skill mix are appropriate across administrative and clerical areas to effectively and efficiently meet service demands. Take timely action to minimise the impact of any staff shortage on service delivery. To ensure that all own staff are informed of the Departments objectives and performance targets and are aware of the importance of their contribution to service delivery. To set objectives and review performance of the delegated admin staff, using agreed KSF outlines. This includes identifying training and development needs and promoting continual personal and professional development, as well as completing annual appraisals. To undertake regular 1:1 meetings with direct reports and hold regular departmental team meetings. To be responsible for ensuring that departmental mandatory training is up to date, and there is a training plan for staff within across all services. To complete ad-hoc tasks and projects at the request of the Service Manager. To deputise for the Assistant Service Manager where appropriate. General/Quality Issues 1. To support the work of the Cancer Services Manager by reporting areas where peer review measures or targets are not being achieved such as the National Waiting times. 2. Assisting with process mapping or any other methods of problem solving, as required for service improvement. 3. To participate in Departmental, Trust or Network meetings as required. 4. To identify own training and development needs and undertake appropriate training/education as required, supported by regular Performance and Development Review (PDR). 5. To adhere to all Trust Policies and Health & Safety, as applicable.
