Hays are delighted to be supporting a well-respected organisation in Inverness who are seeking a Property Administrator to join their team on a long-term temporary basis. The organisation is responsible for coordinating essential building and maintenance activities and ensuring that tenants, private owners and stakeholders receive a high level of service. This is an excellent opportunity to work within a busy, structured environment where strong communication, organisation and attention to detail are highly valued.


Your new role


You will also help coordinate access to buildings and individual homes for contractors and surveyors, arranging appointments and supporting tenants who may require additional assistance, including temporary decant arrangements or access to local facilities. Your role will involve communicating the benefits of remedial work, recording responses, and monitoring the quality of service provided.Acting as an important link between tenants, contractors and internal teams, you will support customer satisfaction monitoring through the analysis of returns and prepare feedback reports as required. You will attend meetings with contractors and on site when needed, review minutes and project reports, and assist with the administration of monthly project milestones to support progress tracking.You will maintain and update internal databases with survey results and details of improvement or remedial work, ensuring accuracy at all times. This includes managing and verifying contact information for tenants and owners, ensuring key stakeholders have access to up-to-date project details. You will also be responsible for supporting the safe handling of documentation and ensuring compliance with internal health and safety procedures.


What you'll need to succeed


To be successful in this role, you will bring experience from a housing, property, or similarly customer-focused service environment. You should have excellent organisational skills with the confidence to manage multiple priorities and work to tight deadlines while maintaining accuracy and attention to detail. You will be comfortable coordinating satisfaction surveys, analysing returns and producing clear reports. Strong IT skills are essential, particularly in data management and the use of spreadsheets. You will have excellent written and verbal communication skills, including the ability to prepare formal correspondence and present information clearly. Experience supporting works programmes or coordinating contractor activities would be highly advantageous. You will be proactive, solution-focused, and confident working independently, using your initiative to make decisions. Strong negotiation skills, adaptability and excellent customer care are all key to this role.
