About the role
We are seeking a highly organised and detail‑driven Document Controller / Site Administrator to support our team on the A9 Tomatin to Moy project in Inverness. This hybrid role combines responsibility for managing project documentation with the day‑to‑day coordination of site administration. You’ll play an essential role in ensuring the smooth flow of information across the project and supporting our commitment to efficiency, compliance, and safety.What you'll be doing
Document Control Responsibilities- Managing all project documentation in accordance with business and project requirements.
- Ensuring documents are tracked accurately from pre‑construction through to completion and archiving.
- Identifying and implementing contractual requirements related to document control.
- Training and supporting project teams and subcontractors on document control systems and procedures.
- Maintaining accurate registers, storage, and retrieval structures for drawings, specifications, and controlled files.
- Ensuring documentation procedures align with Business Management System (BMS) standards.
- Overseeing archiving processes so documents remain accessible and properly stored.
- Enhancing and improving documentation processes and systems.
- Liaising with design and project managers to keep them informed of any documentation issues.
- Supporting the assembly of the Health & Safety file.
- Managing the biometric induction and access system (M‑Site) for all project personnel.
- Supporting the smooth running of the site office, including ordering and maintaining supplies such as PPE and welfare provisions.
- Collating and submitting Contractors’ Monthly Reports, including KPIs and SCAPE data.
- Demonstrating and promoting Balfour Beatty values in all daily interactions.
- Maintaining a strong focus on Zero Harm and contributing to a safe working environment.
Who we're looking for
You will be someone who is organised, proactive, and confident working with systems and people. The ideal candidate will have:
- Strong experience in document control and familiarity with document management systems.
- A basic understanding of BIM processes.
- Excellent communication and interpersonal skills.
- Strong organisational and planning abilities, with determination to see tasks through.
- Experience coordinating activities across teams.
- A collaborative mindset and an understanding of how your work supports wider project objectives.
