We are looking for a motivated and positive individual with excellent communication skills, both written and verbal. As a Ward Administrator for our Intensive Care Unit, you will be the first point of contact for queries and play an essential role in supporting members of the multidisciplinary team.
You will be responsible for providing a warm, dedicated, helpful and friendly welcome to all relatives and visitors to our department. You will have excellent organisation skills and the ability to work at pace, will ideally have previous experience in working in a patient facing role, along with the capacity to provide a great service in a sensitive setting. People skills are an absolute must, along with the ability to work in a highly demanding yet rewarding environment.
The role is key in day-to-day coordination of administrative tasks as part of a 7-day service and is a fixed term 6 months post. It is a full time post of 37.5 hours a week with both weekend and bank holiday work required (a day in lieu is given for those who work bank holidays).
This post will require the successful candidate to be able to work the following pattern (please do not apply if you cannot fulfil this service need).
• Tuesday (11:00 - 19:00)
• Wednesday (11:00 - 19:00)
• Thursday (11:00 - 19:00)
• Saturday (11:00 - 19:00)
• Sunday (11:00 - 19:00)
This role will be based at St Mary's Hospital although cross-site cover may be required as per the service needs.

• To provide effective and efficient clerical and reception support to a designated ward, ensuring that administration processes meet the needs of all service users.
• Promote a customer focused approach to receive patients and visitors to the ward, providing a courteous, responsive and effective first point of contact (in person and by telephone) for patients, carers and healthcare professionals, both internal and external to the Trust.
• Use judgement in responding to queries or taking messages. Ensure that all enquires are dealt with politely, courteously, promptly and professionally.
• Maintain good communication links with the ward team and other departments.
• To ensure that all telephone calls are answered within the agreed time and in line with the Trust’s telephone standards.
• Redirect calls to other departments if necessary or when callers are misdirected.
• To arrange transport when required, clearly communicating with the nursing staff.
• Make outpatient appointments as appropriate prior to discharge in conjunction with the patient’s future care plans.
