Summary


An exciting opportunity has arisen for a Band 2 Ward Clerk to join our Admin Team in the Acute Specialist Medicine at Charing Cross Hospital which is part of Imperial College Healthcare NHS Trust. The Ward Clerk is a key part and valued member of our ward team and assists in ensuring that the unit runs smoothly. In addition to the routine work of a Ward Clerk the successful candidate will be expected to be hard working, a good team player, conscientious, able to work under pressure and prioritise their own workload.

The post holder must be able to demonstrate excellent communication skills, flexible to undertake a variety of tasks, a positive outlook, enthusiasm and the ability to learn and develop new skills. It is essential the applicant has good IT skills. Knowledge of NHS computer system would be advantageous however training will be available for the successful candidate. It is essential that the post holder has a good understanding of the dynamics of team work as they will be expected to work closely with multidisciplinary personnel. This area has a dynamic nursing environment with a wealth of opportunities and challenges for the right individual. The successful applicant will be fully supported in their role by the manager and the rest of the senior team within Acute Specialist Medicine. Continuing education and professional development is strongly encouraged and opportunities may be available for the successful applicants.
• To enter, record and update information to ensure that all patients are accurately registered on the relevant Trust information system and that any further documentation relating to a patients’ appointment is completed and appropriately stored.
• Maintain effective administrative systems both electronic and manual, including those relating to all patient appointment booking processes.
• Maintain and update records of appointment availability for all clinics.
• Liaise with other services to ensure that appropriate tests are ordered and collected.
• Order patient transport and interpreters as necessary.
• Produce and send non-attendance letters at the end of a clinic session.
• Undertake photocopying to support the administration of the clinic.
• File letters, reports and other documentation in the patient’s medical records and ensure that records are stored appropriately.
• To be responsible for the quality of data recorded. The data should be accurate and recorded in a timely manner, kept up to date and appropriately filed.
• To cancel and reschedule entire Clinics at short notice as and when required.
• To ensure all appointments are made in line with the Trust access policy and to identify and escalate any potential breaches at the earliest opportunity.
