The Role
As a Dental Receptionist & Sales Coordinator, you will be responsible for managing new patient enquiries, guiding patients through the consultation booking process, and supporting the practice in achieving its growth and productivity targets.
You will act as the first point of contact for patients, ensuring every interaction—whether by phone, email, or in person—is professional, informative, and welcoming. Alongside reception duties, you will play a key role in converting enquiries into booked consultations while ensuring practice policies and processes are followed.
Key Responsibilities
Lead Management & Patient Booking
• Respond promptly to new patient enquiries via phone, email, and CRM systems
• Accurately record all communications and patient details
• Guide patients through consultation bookings and treatment journeys
• Confidently discuss pricing and handle common objections
• Take and process holding deposits where required
• Maintain accurate lead tracking using CRM tools
Meeting Targets
• Work towards and exceed consultation booking targets
• Monitor lead activity and follow up with potential patients
• Identify opportunities to improve conversion rates and patient engagement
Patient Experience
• Deliver a professional and welcoming experience for all patients
• Provide clear information and support to patients throughout the booking process
• Address questions or concerns in a helpful and reassuring manner
• Ensure the practice’s high standards of patient care are consistently maintained
Reception & Administrative Duties
• Provide comprehensive front-of-house reception support
• Manage appointment bookings and optimise the practice diary
• Handle patient enquiries via phone, email, and face-to-face interactions
• Maintain accurate patient records and update medical histories
• Process incoming correspondence and maintain organised filing systems
• Ensure patient financial records are accurate and up to date
• Monitor practice emails and respond or escalate appropriately
• Coordinate laboratory work and ensure documentation is prepared for clinical sessions
• Maintain stock levels for reception stationery and supplies
• Assist with reporting and administrative tasks relating to practice performance
• Ensure the reception area remains clean, professional, and welcoming
• Follow all practice policies and procedures
Requirements
• Minimum 1 year experience working in a dental practice
• Minimum 1 year experience in a sales or patient coordination role
• Excellent communication and interpersonal skills
• Confident handling patient enquiries and discussing treatment options
• Strong organisational and diary management skills
• Experience using dental practice software or CRM systems is beneficial
• Professional, proactive, and patient-focused approach
