An exciting opportunity has arisen within the Surgical Services Admissions Team at University Hospitals Coventry and Warwickshire NHS Trust. We are seeking to appoint an enthusiastic and dedicated individual to join our team. The post holder will be a key member, who enjoys the challenge of having a varied role across different specialities and departments providing a scheduling function for elective surgery. You will need to have excellent interpersonal skills and experience in the following:-
• Working in an administrative role
• Experience in customer facing
• Excellent communication skills, particularly over the telephone with people at all levels
• Excellent customer service
• Ability to stay calm under pressure
• Good team player who is also able to work own initiative

This is a full time role, 37.5 hours, Monday – Friday to cover the service needs. Weekend work may be required in future.

Secondment will be considered for internal candidates – If you are successful after interview, you must obtain approval from your current line manager to accept the offer.
1. Under supervision and guidance abstract all the necessary information relating to outpatient procedures from both the case notes and the Trust’s electronic systems and input this into the patient administration system
2. To manage the Waiting List and book as appropriate, validating errors and monitoring trends. Monitor utilisation reports. To ensure wherever possible that all documentation is up-to-date, in an orderly fashion and available whenever decisions are being made, liaising with department and Trust staff to maintain an efficient record system, prompt transcription and distribution of correspondence in compliance with local/national targets.
3. To ensure all routine and/or urgent appointments are effectively and successfully booked within a prompt timescale as appropriate and a proper record is maintained.
4. Deal with all telephone calls relating to the outpatient appointment system, ensuring all calls are dealt with in a polite, pleasant and professional manner.
5. To have a clear understanding of RTT and performance targets and utilise reports effectively.

• Use of hospital systems, including IPM, CRRS, Opera, Mmodal and from June 2024, EPR, to effectively manage workload and RTT patient pathways.

• Support new team members by demonstrating and explaining routine dept practices and procedures, undertaking appropriate training and development with new and existing staff ensuring standards of practice are maintained at all times.
• Provide appropriate cover in the absence of other members of the team.
• Maintain confidentiality and discretion and comply with the terms of the Data Protection Act and local Trust policies at all times.
• Complete Trust Mandatory Training and keep up-to-date for all modules
