The post holder will work as part of the Planned Care secretarial group providing typing and general administrative services to the Directorate, in support of the work of consultants and other clinical staff in providing a high standard of patient care. As part of an administrative and secretarial team you will work towards Department, Directorate and Trust performance and quality targets.



This role requires you to have current right to work in the UK which enables you to undertake the role without need of sponsorship. Accordingly, we regret that any application will not be considered if this requirement is not met. Given the current UK immigration requirements this role is not eligible for sponsorship, and it is not possible for the Trust to sponsor applicants for a visa for this role

The following is not an exhaustive list but provides an indication of the core tasks:
1. Type on a daily basis clinic letters, general letters, discharges and other patient related documentation. Ensuring that all work leaving the department is of the highest quality in terms of presentation and layout, and is despatched within agreed timescales.
1. Responsible for managing the Straight to Test Tracker as part of a job share. Escalating to Operational Managers if patient’s 2ww appointments aren’t booked or if they are booked outside of target.
1. Delivering the 2ww Referral paperwork for Triage to the consultants on a daily basis as part of a job share.
1. Ensuring the Choose and Book patient’s referrals are received by the consultants to Triage on a regular basis as part of a job share.
1. Providing support to secretarial group and Management to ensure Consultant Reviews are actioned in a timely manner.
1. File tests and loose histories regularly as appropriate.

1. Type letters and reports as required within agreed timescales for any of the specialties within the Planned Care Directorate – subject to training.
1. Retrieve, log and return casenotes/medical records, keeping these in accordance with Trust policy.
1. Communicate efficiently and professionally with colleagues, clinicians, other Trust personnel, and external agencies at all levels, promoting a positive image of the Trust at all times.
1. Maintain a working knowledge of hospital systems so that enquiries can be dealt with efficiently and appropriately.

Very occasionally, take and provide minutes of meeting as required.
1. Participate in team meetings, audits and reviews as instructed by Team Leader in order to generate ideas for service improvement.
2. Use own initiative when dealing with enquiries, ensuring all local procedures and Trust procedures and policies are adhered to, and enquiries are dealt with promptly and courteously. Be responsible for actions and outcomes of enquiries.
3. Responsible for working within safe systems of work, especially in terms of handling patient case notes.
4. Comply with all statutory regulations, procedures, Trust standing orders, standing financial instructions and Trust policies in general.
