About the Role

The Exam Manager is a pivotal figure within the secondary school environment. This temporary role is responsible for the end-to-end administration of all internal and external examinations. From the initial registration of candidates to the final dispatch of scripts, the role ensures that the school remains fully compliant with JCQ (Joint Council for Qualifications) regulations. It is a position of high trust, requiring a professional who can manage sensitive data, coordinate large teams of invigilators, and maintain the absolute integrity of the examination process.

Requirements
  • Previous experience in an Exams Office or high-level administration role within a school.
  • An Enhanced DBS check (or willingness to undergo one).
  • Knowledge of the current UK secondary education examination landscape.
  • Eligibility to work in the UK.
Essential Skills
  • Meticulous Attention to Detail: Ensuring every candidate's name and paper is exactly where it should be.
  • Logistical Planning: The ability to map out complex schedules involving hundreds of people and rooms.
  • Calm Under Pressure: Maintaining a professional demeanour during the high-stakes exam season.
  • Advanced ICT Proficiency: Expertise in using school Management Information Systems (e.g., SIMS or Arbor) and exam board portals.
  • Effective Communication: Clearly briefing staff, students, and parents on complex regulations.
  • Problem Solving: Resolving rooming conflicts or candidate issues quickly and decisively.
Key Responsibilities
  • Setting up exams: Overseeing the physical setup of examination halls, including seating plans and required signage.
  • Timetabling: Creating and managing a comprehensive exam calendar, including handling any last-minute changes or clashes.
  • Paper Preparation: Securing, checking, and preparing exam papers and stationery for collection by invigilators.
  • Candidate Entries: Managing the accurate and timely entry of all students for their respective GCSE and vocational qualifications.
  • Invigilator Management: Recruiting, training, and deploying a team of invigilators to ensure full coverage and compliance.
  • JCQ Compliance: Ensuring all school policies and physical storage areas meet the rigorous standards of the Joint Council for Qualifications.
  • Access Arrangements: Working closely with the SENCO to ensure students with additional needs receive their approved accommodations.
  • Secure Storage: Maintaining the absolute security of examination materials in the school's secure storage facility.
  • Results Management: Preparing for the receipt and distribution of results to students during the summer period.
  • Data Reporting: Providing the Senior Leadership Team with accurate statistics and analysis regarding exam entries and outcomes.
