Purpose of the post

Administrators in the IMA fulfil key roles across the core functions of the business. Administrators will be trained within their allocated work area, as well as within the wider team, and may be required to provide support to all teams across the IMA as needed.

Our current vacancies are:

• Data & Insight Administrative Officer
• Hours: Full time or part time (minimum 0.6 FTE / 22.2 hours over 3 days a week)

The Data and Insight team is responsible for delivering timely, relevant, and credible data and insight to decision makers at all levels. The team also review complaints from citizens who have concerns about UK public bodies’ delivering their commitments to citizen’s rights.

The Administrative Officers within the Data and Insight team are responsible for conducting the initial evaluation and processing of complaints from citizens. They undertake a variety of tasks in support of developing data and insight including researching a wide range of sources and evaluating information for quality and relevance. This assists in the development of insight reports and preliminary reviews of citizen’s complaints.

• Compliance & Inquiry Administrative Officer
• Hours: Full time or part time (minimum 0.6 FTE / 22.2 hours over 3 days a week):

The Compliance and Inquiry team delivers the IMA’s statutory functions through investigations, reviews and inquiries with public authorities across the UK. The team use structured evidence gathering and constructive engagement to identify issues, support improvements and promote best practice.

Administrative officers play a key role by coordinating case information, maintaining accurate documentation and supporting evidence collection and analysis, while also providing flexible administrative support to the wider management team. Administrative Officers work closely with case leads, develop insight into investigative processes and contribute to safeguarding citizens’ rights and fair public services across the UK.

• Governance & Secretariat Administrator:
• Hours: Full time (37 Hours a week)

The Governance and Secretariat team ensure that the IMA operates within a robust, transparent and compliant governance framework. Acting as a strategic link between the Executive, the Board and external stakeholders, the team help ensure effective decision making and promotion of the IMA.

The teams’ responsibilities include maintaining the governance structures, overseeing compliance with legal, regulatory and reporting requirements and ensuring that Board and committee activities follow established processes. The Administrative Officer plans and coordinates Board business, prepares and quality assures meeting papers, manages information flow and produces accurate minutes and records. They also support the Chair and Board members with induction, development and ongoing governance needs.

Responsibilities

• Distributing information and communications in an appropriate manner.
• Preparing, maintaining and collating records, files and management information, in accordance with company procedures.
• Drafting and issuing correspondence to staff and general public.
• Collecting and evaluating data and information in order to support the delivery of required business outcomes.
• Performing general administrative duties at the request of managers.
• Inputting and maintaining effective records.
• Providing administrative support including organising meetings and managing diaries.
• Ensuring effective communication between the IMA and its sponsor department, the Ministry of Justice (MoJ) and building relationships with internal and external stakeholders.

Essential Skills

• Strong verbal and written skills and ability to communicate effectively with a wide range of individuals.

• Good level of IT skills including proficiency in MS Office Word, and basic skills in Excel.
