Key Task and Responsibilities To support the Administration and Business Manager in the integration of administrative teams. To provide co-ordination and oversight of administrative pathways within the teams to ensure smooth running of services. To schedule administrative staff rotas to ensure appropriate cover is provided across the Service during all operational hours. Monitor workloads and tasks and adjust rotas, redeploying manpower resources in agreement with the Administration Manager to provide cover for annual leave and sickness absence for admin staff. To ensure all functions of service delivery from the administrative team, including a responsive and efficient booking system for appointments, runs smoothly placing emphasis on quality and meeting targets To ensure that all correspondence is formatted to the Trusts standard. To provide day-to-day staff management including work allocation, work quality checking, return to work interviews, initial stages of grievance and discipline To undertake development and support of staff including PDRs and supervision. To identify training needs and mandatory training compliance of the administrative team in conjunction with the Administration Manager, including additional training as required (Fire Warden and First Aiders) To assist with recruitment activities and interviews To undertake departmental induction for staff as required To maintain staff records of sickness, annual leave and agency and bank work on Healthroster. To request new starter setup (e.g. network access, IAPTus access) To exercise judgement when dealing with enquiries and to handle complaints in line with local policies and procedures and to escalate appropriately if they cannot be resolved at the local level To support the review of processes and redesign as necessary proposing changes to processes where appropriate To contribute to the development of Standard Operating Procedures and update as appropriate To resolve where possible, and escalate where necessary any issues within the administrative and clerical team. To inform the Business Manager and the Administration Manager of all issues To interpret policies within own area of work and propose changes to processes with the Administrative and Clerical functions as appropriate To contribute to supplementary policies and procedures as appropriate To demonstrate a level of responsibility relating to operational matters not requiring a clinical judgement in the absence of the Administration Manager/Business Manager To plan meetings as required, and to attend meetings, collate papers and take minutes as required by Management Team. Prepare reports and PowerPoint presentations as required by Management Team. To ensure security of files and documents etc when the office is left unattended Assist in effective maintenance of all office equipment, reporting faults and repairs to the Facilities Service Desk or IT Helpdesk when required. To perform tasks that require frequent periods of concentration, involving use of computers. Personal duty of care in relation to use of equipment and resources in the course of the duties performed. Any other duties appropriate to the role and level that may be required from time to time Management Responsibilities Direct line management responsibilities To deputise for the Administration Manager in their absence if required.
