The role
We are seeking a friendly, organised, and proactive Reception Administrator to provide a professional front‑of‑house service and efficient administrative support across the organisation.
This is a key operational role, combining reception duties, general administration, and first‑line IT support, ensuring smooth day‑to‑day running of the Centre and a welcoming experience for students, visitors, staff, and partners.
Location: Godstone, Surrey
Salary: £24,479 per annum
Hours: Full-time, 35 hours per week (52 weeks per year)
Reports to: Chief Operating Officer
Key responsibilities
Reception & Front of House
Provide a warm, professional welcome to visitors, students, contractors, and partners
Manage visitor sign in/out and issue badges in line with safeguarding procedures
Operate the telephone switchboard and shared inboxes, triaging enquiries effectively
Maintain reception diaries, room bookings, post, couriers, and meeting arrangements
Support events, emergency procedures, and fire drills
Supervise and support reception volunteers
Coordinate the reception rota to ensure continuous cover
General Administration
Provide high quality administrative support across departments
Prepare correspondence, reports, templates, and meeting packs
Manage calendars, meetings, and room bookings
Maintain accurate digital and paper records, ensuring GDPR compliance
Order office supplies and monitor stock
Produce simple reports and maintain compliance logs
Provide cover for other administrative staff when required
IT Administration (First Line Support)
Act as first point of contact for basic IT queries (password resets, printing, device setup)
Escalate issues to the Managed Service Provider where appropriate
Maintain IT asset registers and manage device booking in/out
Support starter, leaver, and mover processes with IT equipment
Assist with Microsoft 365 housekeeping and basic guidance
Support application owners with routine administrative IT tasks
About you
Essential Criteria
Experience in a reception, administration, or customer facing role
Excellent organisational and time management skills
Confident using Microsoft 365 (Outlook, Word, Excel, Teams)
Clear, professional communication skills
Ability to remain calm under pressure and manage competing priorities
High attention to detail and respect for confidentiality (GDPR awareness)
Commitment to equality, inclusion, and safeguarding
Desirable
Experience in education, charity, or care settings
Experience supporting colleagues with basic IT queries
Experience supervising volunteers
Minute taking or meeting coordination experience
Willingness to work occasional evenings or weekends for events
