As a Senior Medical Deployment Officer the post holder will be responsible for the leadership of a team of Officers and Assistants supporting designated Clinical Service Units or a group of specialties to: - Ensure that the e-rostering system has the correct Rota templates against each roster. - Upload resident doctors and align them to rosters from the Electronic staff Record (ESR). - Produce live rosters from the templates. - Manage real time of resignations, swaps, sickness and absence recording on the e-rostering system. - Manage resident doctor rota gaps including securing the recruitment of medical bank staff and temporary staffing solutions in conjunction with operational and clinical managers ensuring savings/benefits are delivered in accordance with NHSI guidelines on temporary staffing and Agency Rules. - Identify and monitor breaches of safe working hours that will impact patient care as stipulated within the rules of the Resident Doctor Contract 2016 escalating and identifying alternative solutions. - Provide a vital role in the on-going maintenance including auditing data integrity and data quality assurance. - Work with local Rota Co-ordinators to plan and allow for update of medical staff on e-rostering at time of rotation adhering to national timescales stipulated in the Resident Doctor Contract 2016 and fulfilling reporting requirements to other NHS organisations e.g. NHSI. - To ensure that exception payments and Time Owed In Lieu claims are recorded and processed within timescales as determined in the Resident Doctor Contract 2016. - To keep up to date with changes to national medical terms and conditions of service policies and procedures, employment law and human resources best practice in order to advise operational managers and clinicians as required. - To work with the wider Human Resources function to ensure that electronic systems are maintained up to date and that no doctor is working within the Trust without the appropriate qualifications. - The post holder will undertake such duties as maybe required to ensure that the e-rostering system for junior doctors is fully incorporated within CSUs. - The post holder will be expected to be an advanced e-rostering user, able to encourage and support others to resolve queries. - To ensure pre-employment checks for temporary staff are compliant and that no doctor is working without the appropriate pre-employment checks. - To ensure that locum and agency doctor timesheets are checked as accurate against bookings held on electronic systems in a timely manner and that any discrepancies are dealt with. - Day-to-day management of a medical deployment team including co-ordinating leave/cover and ensuring the team are able to offer the Trust the appropriate service levels at evenings/weekends/bank holidays. - --- Organising cross cover within the team for CSU/specialty areas. - Monitoring and recording sick leave of their team members, completing Return to Work interviews and following Trust attendance management policy when required. - The post holder will be responsible for carrying out regular 1:1s, annual appraisals and PDP reviews for members of their team, following Trust supporting performance and conduct policies when required. - Responsible for disseminating information and updates within their team. - The post holder will be responsible for monitoring and ensuring the accuracy of data entered by themselves and their team and will undertake a performance review as and when training needs are identified. - Assessing situations escalated by team members, providing advice and support, the post holder will possess the ability to make decisions that affect others. - To take responsibility for working on own initiative, escalating issues to a higher authority when necessary. - Interpret Trust policies and ensure they are reflected in every aspect of the e-rostering/deployment implementation and enforced within local practices. - Contribute to specific projects across HR as requested. - Undertake any other duties commensurate with the role as required by the Medical Workforce Manager or Assistant Medical Workforce Manager.
