The Klondyke Group trading as William Strike Ltd are a group of 23 Garden Centres and Restaurants across Scotland, England and North Wales with our Head Office in Grangemouth.

Klondyke is a family business, and our employees are our extended family. We are focused on developing all aspects of the business including our newly developed flagship site at Polmont.

Due to Company growth, we have a very exciting opportunity for an experienced Receptionist with a catering background to join our team based in our Head Office in Grangemouth.

The Role

As Receptionist Administrator you will play a crucial role in managing front desk operations, providing administrative support to our catering team and ensuring a welcoming environment for clients and visitors in person and over the telephone.

This is an office-based role Monday to Friday 37.5 hours per week.

What you will be doing a Reception / Administrator:


Front Desk Management: Greet and welcome visitors, ensuring a positive first impression. Answer, screen and forward incoming telephone calls, taking messages as necessary and dealing with deliveries.



Administrative Support: Perform general office duties such as filing, managing correspondence internally to all centres and Head Office. Maintain office supplies and ensure the reception area is tidy and presentable. Manage all incoming and outgoing mail.



Scheduling and Coordination: Manage appointment bookings and coordinate schedules for staff members including accommodation. Assist in organising meetings and events as required including refreshments.



Customer Service: Provide accurate information to clients and visitors in person, over the telephone, or via email. Handle inquiries and resolve issues calmly and effectively.



Record Keeping: Maintain accurate records of visitors and manage the collection and sorting of mail. Ensure confidentiality of sensitive information.



Security and Safety: Support building security by monitoring access to the premises and reporting any issues to the appropriate personnel.



Catering Administration and Support: Manage individual catering complaint cases from initial receipt and acknowledgment through to final resolution. Conduct thorough, objective investigations into issues by liaising with catering team & catering managers. Support senior catering team with mobilization and menu launches. Answering telephone inquiries, managing the catering email inbox, and support in producing menus with updated allergen information.

Good at multitasking, organisation, attention to detail, accountability, problem-solving, and time management.
Team player with a friendly and professional demeanour.
Comfortable communicating with others over video calls, emails, and in person.
Competent in MS Excel, Word, Teams, SharePoint and Databases.
