Summary

Radis Community Care have an opportunity for the newly created role of Knowledge Coordinator . Working as part of the busy Contracts Team and reporting into our Head of Contracts.

JOB PURPOSE

The Knowledge Coordinator plays a vital role in supporting the successful delivery of high-quality tenders across our support and care services by managing, developing, and continuously improving the bid knowledge base. The role focuses on capturing reusable content, insights, and lessons learned, to build, maintain, and optimise a high-quality content library that enables faster, more consistent, and higher-quality bids. This role bridges knowledge management, content development, and bid support, ensuring that the bid team have easy access to accurate, up-to-date, and compelling information.

It is essential that the Knowledge Coordinator is highly organised, detail-focused, and passionate about contributing to the development of services that make a positive difference in people’s lives.

MAIN RESPONSIBILITIES:

ADMINISTRATIVE & TEAM SUPPORT

    Provide general administrative support to the Contracts Team.
    • Support with management of shared inboxes and distribute tender opportunities to relevant stakeholders.
    • Handle confidential information securely and in accordance with company procedures.
    • Liaise with internal departments (i.e. quality & compliance, finance, operations) to gather necessary information

    INFORMATION & DATA MANAGEMENT

    • Maintain a central library of bid materials: templates, standard responses, case studies and evidence.
    • Help identify content gaps and proactively develop new materials.
    • Update and organise records of past bids, clarifications, and outcomes.
    • Maintain compliance documents (e.g., insurances, certificates) required for submissions.
    • Carry out research into commissioning priorities, local authority requirements, demographics, and competitor provision.
    • Help develop AI-assisted workflows for bid writing and content.
    • Ensure content meets quality, compliance, and confidentiality requirements.
    • Promote best practice in knowledge sharing and content reuse across the bid team.

    DOCUMENT MANAGEMENT

    • Create, edit, format, and proofread supporting bid documents to ensure accuracy and compliance with requirements.
    • Maintain clear governance over content approval, ownership, and review cycles.
    • Prepare supporting documents such as CVs, case studies, organisational charts, and graphics.
    • Ensure all documentation is consistent in style and tone.
    • Recommend improvements to tools, templates, and processes.

    SUBMISSION & COMPLIANCE

    • Assist with management and administration related tasks in relation to procurement portals or client systems where required.
    • Track clarifications and updates issued during the bid process.

    COMMUNICATION & STAKEHOLDER SUPPORT

    • Act as a point of contact for internal stakeholders involved in bids.
    • Communicate updates, and requirements clearly across the team.
    • Chase contributors for input in a professional and timely manner.

    BRAND & CULTURAL DEVELOPMENT

    • Adhering to company standards on presentation, formatting of documents and use of corporate colours and logos.
    • Promote good news internally and externally by word of mouth and through newsletters, editorials, award nominations and other available methods.
    • To perform other duties as reasonably required from time to time.

    Experience

    • Experience in providing administrative support in a fast-paced, deadline-driven environment.
    • Experience coordinating activities or tasks across multiple stakeholders or departments.
    • Experience producing, formatting, or proofreading documents.
    • Previous experience in a bid, tender, proposal, or procurement support role is desirable.
    • Experience within health or social care, local authority contracts, or CQC-regulated services is desirable.

    Knowledge

    • IT literacy, including MS Word, MS Excel, MS Publisher and MS PowerPoint.
    • Strong understanding of administrative processes and document management.
    • Awareness of GDPR requirements relating to information handling.

    Skills & Competencies

    • Excellent organisational skills with the ability to manage multiple deadlines.
    • Strong written communication skills, including proofreading and attention to detail.
    • Ability to compile, format, and present documents to a professional standard.
    • Confident in liaising with colleagues at all levels and coordinating input from various teams.
    • Curious, proactive and improvement focused.
    • Ability to manage version control and follow structured processes , including MS Word, MS Excel, MS Publisher and MS PowerPoint.
    • Knowledge of best practices for integrating AI tools into workflow to support efficiency, research, and document preparation.
    • Ability to produce simple graphics or layouts for bid documents.
    • Ability to summarise key information and share succinctly with others.
