MAIN DUTIES OF JOBS
Sales Administrator (Wonda Afro Caribbean Restaurant and Bakery)
Processing and managing all sales orders from initial inquiry through to final invoicing, with a strong focus on catering orders and large restaurant group bookings.
Maintaining accurate and up-to-date customer records and sales documentation using CRM software and other relevant systems.
Generating invoices, processing payments, and reconciling sales data in coordination with the Finance department.
Acting as the primary internal liaison between the sales team, kitchen staff, and delivery logistics team to ensure all order specifications and deadlines are met.
Preparing and distributing sales-related materials, including quotes, contracts, menu packets, and promotional flyers for catering services.
Managing the sales calendar and booking system for all confirmed catering events and restaurant reservations, ensuring no double-bookings or conflicts.
Handling customer queries related to orders, delivery times, and pricing, escalating complex issues to the Restaurant and Catering Manager when necessary.
Assisting the Sales/Catering Manager with data entry, compiling weekly and monthly sales reports, and tracking key performance indicators (KPIs).
Monitoring inventory levels of sales supplies (e.g., catering packaging, promotional items) and ordering replacements as needed.
Ensuring all sales documents and contracts comply with company policies and legal requirements before final sign-off.
QUALIFICATIONS REQUIRED FOR THE JOB:
Sales Administrator
Education: High School Diploma or equivalent; an Associate's or Bachelor's degree in Business Administration or a related field is a plus.
Experience:
Minimum of 1-2 years of proven experience in an administrative or sales support role, preferably within the food service, catering, or retail industry.
Demonstrated experience with order processing, invoicing, and maintaining customer databases (CRM).
Proven ability to manage a high volume of administrative tasks and sales documentation accurately.
Familiarity with common office software (Microsoft Office/Google Workspace) and general accounting principles.
Skills:
Exceptional attention to detail and a high degree of accuracy in data entry and record-keeping.
Strong organisational and time management abilities, with the capacity to prioritise tasks effectively.
Excellent verbal and written communication skills for professional interaction with customers and internal teams.
Proficiency in using CRM (Customer Relationship Management) and/or POS (Point-of-Sale) systems.
A proactive, problem-solving attitude and the ability to work independently to meet deadlines.
Familiarity with the specific logistics of catering operations (e.g., delivery scheduling, packaging needs) is advantageous.
