We are looking to recruit a full-time Reception Administrator for our Community Paediatrician Service at the Child Development Centre (CDC). Our Community Paediatrician Team works with children who have complex needs, disabilities or long-term conditions, enabling them to achieve their maximum potential.

Community paediatricians are specialist trained children’s doctors with expertise in child development disability, general paediatrics (including child protection), educational and public health for children.

This is a clinical service support role, and the post holder is expected to work from their assigned base.

The post holder will provide an efficient, effective and high-quality clerical and reception service within the Child Development Centre. To act as front of house and receive, assist, and direct various patients, staff, and visitors to appropriate services.

The post holder will be an integral part of the wider administrative team to provide general assistance and support the administrative needs of the service.

The post holder will have excellent interpersonal skills and have the ability to communicate effectively with service users, carers, health professionals and team members.

In addition, the post holder must possess good IT skills.

The post holder will work under own initiative with a flexible and adaptable approach to the job role in order to meet the changing service needs.

This role will involve a high level of discretion and confidentiality as the post holder will come into contact with some sensitive patient and staff data and information.

· To provide reception support front of house meet and greet, giving basic information and dealing with drop-in enquiries in a courteous and appropriate manner. Referring clients to relevant staff/clinics, or taking messages as appropriate.

· To be responsible for opening/unlocking and closing/locking up of site in accordance with security protocols.

· To have a good general understanding of the service in order to effectively provide non-clinical information and advice.

· To operate the telephone system dealing with enquiries and redirecting as necessary. To maintain an effective message taking system, recording messages for staff and being responsible for seeing that they reach their destination.

· To arrange appointments as required and maintain up to date filing systems of clients’ records.

· To facilitate the booking and use of interpreting or transport services as required.

· To enter and maintain basic information around appointments on the patient information system.

· To ensure clerical work arising from each clinic is effectively completed at the end of each clinic.

· To use IT systems as required, following appropriate training, to carry out a range of duties to support health centre staff.

· To participate in maintaining an up to date display of health education literature within the reception area.

· To assist in providing general office support to service staff, e.g.: filing, shredding, distribution and sending of post.

· Ensure equipment /stock are kept replenished and escalate any issues or concerns as appropriate.

· To be responsible for monitoring and recording room temperature and completion of temperature log.

· To support the logging of complaints/compliments and incidents on Datix.

· To ensure good Health and Safety practices at all times.

· To observe and promote standards put forwards in the trust reception standards.

· To be familiar with and to work within CNWL policies related to the function of responsibilities as an employee.

· Be forthcoming with ideas, changes or new initiatives for improvements to policy, guidance, departmental procedures, systems and ways of working for improvement in service quality and delivery.

· To undertake all mandatory and supplementary training in line with policies.
