The Patient Admin Assistant/Receptionist will be responsible for the provision of a supporting role to the Patient Admin Coordinator to help ensure the efficient running of the service.
In addition, they will implement policies and procedures to maintain efficient department/office and filing systems to facilitate the smooth running of the administrative services.
The successful post holder will support with the letter generation process to type letters as required.
1. Provide administrative support to Consultants, clinical staff and all patients under their care, including diary administration, correspondence support and other administrative duties as required.
2. Use of the Trust digital transcription systems to produce clinical correspondence to inform referrers, patients and other relevant parties of patient pathway progress. In doing so, produce correspondence that is of high quality and conforms to the national target of sending out within 10 working days.
3. Open and prioritise incoming post, ensuring supporting information is available when appropriate and taking responsibility for actioning urgent items in the absence of the Consultant or other clinical staff.
4. Support patients under the Clinicians care by booking relevant diagnostic investigations and expediting, where appropriate, in line with the 6 week diagnostic pathway and 18 week referral to treatment (RTT) pathway.
5. Monitor urgent investigation requests to ensure they are processed appropriately.
6. Work closely with all staff in the service to ensure compliance with 18 week referral to treatment (RTT) targets, escalating and intervening where necessary to expedite appointments and procedures to avoid breaches.

1. Receiving and taking relevant action on telephone calls from patients, General Practitioners etc. Providing reassurance and support to patients and families by telephone and making judgements about finding appropriate solutions to problems, which requires the ability to be able to understand and explain basic medical procedures.
2. Arranging investigations, ensuring that these have been performed, results received and seen by relevant clinician and filing/redirection of all investigation results as appropriate.
3. Preparing the notes for clinics, including front sheets and referral letters and delivering the trolley to the Outpatient Department as necessary.
4. To maintain case note tracking on the Patient Administration System (EPR).
5. Updating patient details and viewing events using Patient Administration Systems (EPR). Registering patients and making up new case notes as necessary. This may include providing reports, as and when necessary.
6. Ensure that case notes/X-rays/results are available as appropriate.
7. Ensure prompt location of case notes/X-rays/results to enable the clinician to respond to correspondence/telephone calls received.
8. Ensuring that clinic letters are sent out promptly.
9. To liaise with other departments as required.
10. Maintain an accurate and current filing system, ensuring letters, clinical reports, diagnostic test results and other notes are filed in the correct patient medical reports, in either paper or electronic record systems.
11. To liaise with Patient Admin Coordinators and Service Delivery Manager regarding issues with the transcription service targets/policy.
12. Work independently making decisions within own role with minimum supervision
13. To deputise for the Patient Admin Coordinator in their absence for annual leave and sickness.
14. To comply with the requirements of the Data Protection Act, Access to Health Records and legislation issued in relation to confidential data.
15. Any other duties as directed. This may cover a wide range of duties including providing cover for other teams as appropriate.
