Schedule: Monday to Friday, starting daily at 7:30 AM (No shift rotation)
Position Summary
We are seeking a highly professional and adaptable Receptionist & Admin Assistant to be the welcoming face of our organisation. This is a critical dual-role position, responsible for managing the reception desk and delivering a professional front-of-house service, ensuring every client and visitor is welcomed in a polite, courteous, and helpful manner.
Beyond concierge duties, you will provide vital administrative support across multiple departments, including Quality Systems & Assurance (through documentation and reporting) and providing continuity support to the Site General Manager (GM) and Site Services during the Executive Assistant's absence.
Key Responsibilities
I. Front of House & Visitor Management- Concierge Service: Deliver a full concierge service by greeting, assisting, and liaising closely with Security to ensure professional site access control.
- Visitor System: Operate and maintain the Traction Guest visitor management system for seamless coordination of client and general site visits.
- Compliance: Maintain detailed logs of overseas colleague visits and ensure timely, accurate reporting to HMRC.
- Communication: Update and maintain the reception electronic noticeboard with welcome messages and site-specific announcements.
- Travel Arrangements: Manage all travel logistics, including advising on preferred hotels, booking airport transfers and local taxis, and maintaining comprehensive travel records.
- Meeting Management: Coordinate and manage conference and meeting room bookings.
- Setup: Conduct regular checks to ensure meeting rooms are properly set up, stocked with stationery, and all AV/conferencing equipment is functioning correctly.
- Documentation: Generate, bind, and prepare logbooks to support operational/compliance requirements and maintain statistical reporting.
- Quality Assurance Support: Assist Production QA by scanning, organising, and managing documentation (e.g., BMR scanning).
- Site Support: Act as the main point of contact for Site Services during the Executive Assistant's absence, ensuring operational continuity.
- GM Support: Provide General Manager (GM) support when the Executive Assistant is off-site, with ongoing cross-training for succession planning.
- Procurement: Manage site-wide stationery procurement, ensuring optimal stock levels and cost control.
- Site Communications: Draft and distribute site-wide communications via email, ensuring consistency and accuracy.
