Summary
You will be responsible for:
Administrative support
Provide high-level administrative support by managing calendars, scheduling appointments, and travel, and organising meetings.
Prepare and review documents, reports, and presentations with precision and professionalism.
Manage expense processing and manage travel and accommodation bookings efficiently.
Communication management
Function as the primary point of contact for internal and external communications, representing the Programme Director.
Maintain a positive and efficient flow of communication by managing email correspondence, and handling inquiries independently, drafting emails to internal and senior external stakeholders.
Information Management
Proactively gather and compile relevant information and data to assist the Senior Responsible Owner (SRO) in decision-making and planning.
Ensure that information is organised and easily accessible.
Manage sensitive and confidential information with the utmost professionalism, always maintaining strict confidentiality.
Meeting and Project Co-ordination
Plan, schedule, and coordinate executive-level meetings and Programme-wide events.
Prepare meeting agendas, collect, and distribute relevant materials, and follow up on action items to meet deadlines.
Oversee small projects, ensuring they are planned and executed seamlessly by managing coordination, timelines, and collaborating with various departments.
Take accurate meeting minutes and disseminate them promptly.
Overall, as the Executive Assistant to the Senior Responsible Owner, you will play a pivotal role in providing administrative support, facilitating effective communication, and coordinating meetings. The post will be based in HMNB Devonport with potential occasional travel to other defence locations including NCHQ Portsmouth, London Main Building and other MOD or Suppler sites. In accordance with MOD guidance the post holder is expected to be in the office circa 60% of the time.
