1. Job OverviewWe are looking for a highly organised Project Administrator to support the mobilisation and operational delivery of HMRC's new flagship site at Pilgrim Quarter, Newcastle upon Tyne. This role plays a key part in coordinating project activities, tracking progress and ensuring documentation and communications are well-managed across multiple workstreams.Working closely with the General Manager, Operations Manager and wider site team, you will help ensure that commissioning, handover, and service mobilisation milestones are met. This is a dynamic and collaborative role, ideal for someone who thrives in a fast-paced environment and enjoys working across teams to deliver high-quality outcomes.

2. Main DutiesIn this role, you will:

-Coordinate mobilisation activities and maintain project documentation

-Support commissioning plans and asset data reviews

-Keep records up to date in systems such as Glider BIM and MAS

-Communicate with internal teams, contractors, and HMRC contacts

-Monitor progress and assist with reporting and dashboards

-Ensure documentation meets Mitie and client standards

3. What We're Looking ForWe welcome applications from individuals with experience in project coordination, administration, or operational support—ideally within facilities management, construction, or engineering environments. You'll be confident managing multiple tasks, communicating clearly, and working collaboratively with a range of stakeholders.Experience with project management tools, document control systems, and digital platforms such as BIM or CAFM is desirable. Strong attention to detail, time management, and adaptability are essential.
