Crynodeb

We are seeking a detail-oriented and proactive Data Assistant to support both the Targeted Support Division and National Careers Service (NCS) provision. This dual-role position will be split equally across two key functions but will require flexibility in this arrangement to respond to demand and peaks in either service workload:

• Supporting data management and optimisation for Targeted Support, including CRM and NCCIS processes.
• Ensuring compliance with NCS funding rules through rigorous evidence checking and learner data validation.

The successful candidate will play a pivotal role in maintaining data integrity, enabling accurate funding claims, and supporting service delivery through effective collaboration and process improvement

Key Objectives

• Ensure timely and accurate data cleansing, transfer, and reporting across CRM and NCCIS systems.
• Improve and streamline data systems and processes to support young people, especially those not in education, employment or training (NEET).
• Take ownership of NCS compliance processes, ensuring all learner evidence meets funding and audit requirements.
• Identify and resolve data errors, support teams in correcting non-compliance, and contribute to continuous improvement


Roles and Responsibilities:

Data Management & Analysis (Targeted Support)

Data Collection & Preparation
• Gather and collate data from spreadsheets, databases, and external partners.
• Cleanse, format, and prepare datasets for import/export into CRM systems.
Validation & Error Checking
• Conduct thorough error checking to ensure data integrity.
• Resolve inconsistencies, duplicate records, and missing data.
Analysis & Reporting
• Analyse datasets to identify trends and gaps.
• Generate internal reports and issue summaries to external stakeholders.
CRM & NCCIS Management
• Support data transfers to/from CRM and NCCIS portals.
• Ensure compliance with government data standards.
• Monitor and reconcile data transfers for accuracy and completeness.
Process Improvement
• Use tools like Microsoft Copilot and Excel to streamline tasks.
• Contribute to the development of data handling procedures.
Collaboration
• Work closely with Delivery Managers, operational teams, and IT/MI colleagues.

Compliance & Funding (NCS)

Compliance Ownership
• Manage compliance processes to track paperwork submissions and errors.
• Inform engagement, delivery, and quality teams to resolve issues.
Evidence Checking
• Conduct compliance checks to ensure eligibility for funding claims.
• Reject non-compliant paperwork and support resolution with relevant teams.
Monitoring & Tracking
• Track learner evidence to ensure complete and accurate submissions.
• Refer missing or incomplete documents to performance managers for follow-up.
Audit & Funding Rules
• Ensure all evidence complies with NCS funding rules and audit requirements.
• Stay up to date with government guidance and sector changes.
Judgement & Escalation
• Use discretion to interpret complex situations, escalating where necessary.
• Communicate effectively with performance managers to maintain efficient practices.
