Job OverviewTo manage the integrated management system (IMS) within G2 Energy and build synergy with the Mitie group management system. You will work with all departments to build and develop processes, procedures and documents for the benefit of the company and its future growth. The company holds ISO 9001, ISO 45001 & ISO 14001 accreditations, as well as other trade accreditations. You will ensure the company maintains its accreditations and remains compliant with relevant regulations and trade organisations.

Main Duties

-Promote the integrated management system (IMS) and its contents, policies, procedures and other documents

-Manage and continue to standardise and grow the IMS to ISO 9001, 45001 & 14001 standards

-Maintain the IMS document register

-Be the Gatekeeper to the IMS, issuing all IMS controlled documents and ensuring everything remains up to date

-Provide training or support as required to aid introduction, adoption and compliance to new and existing policies and procedures

-Ensure company processes and activities are compliant with applicable ISO standards, industry standards and legal regulations

-Be proactive in identifying procedure or documentation gaps in processes or within the IMS

-Work with, and provide support to, all company departments to coordinate and proactively improve documentation where process gaps or a change has been identified, or where a non-conformance has been raised

-Review group/parent company documentation and ensure awareness and compliance as applicable. This may include being part of group level working groups, as applicable

-Conduct internal audits throughout the year against ISO standards and company procedures, across all aspects of the business, in accordance with a perpetual audit calendar

-Communicate audit outputs and actions, and ensure actions are closed effectively

-Prepare for external audits, ensuring all applicable departments are prepared

-Prepare the company to undertake additional accreditations, as appropriate for future growth

-Represent the company in all external audits with accreditation bodies, trade bodies and clients

-Maintain a perpetual audit calendar and ensure schedule compliance

-Monitor and maintain a legal register and audit calendar, ensuring it remains up-to-date and applicable to the company activities

-Ensure and verify applicable regulatory and legal compliance standards are met through coordinated auditing

-Liaise with group/parent company or external bodies to ensure regulatory actions are completed (eg. conducting legionella risk assessments) and any actions are closed effectively

-Conduct management review meetings in accordance with ISO standards, and produce suitable minutes

-Produce reports as appropriate or as requested

-Liaise with and provide advice/guidance to employees at all levels on regulatory issues and IMS documentation

-Coordinate and work with health and safety officers, as applicable, to ensure necessary compliance on company project sites

-Assist the sales department with relevant tender submission questions, relating to quality, health, safety or environmental matters, liaising with group level contacts where appropriate

-Provide support to NERS Authorising and Assessing Officers, in the process and delivery of personnel assessment, and ensuring compliance to the most up-to-date NERS requirements

-Liaise with the group/parent company

-Help to drive continual improvement of the IMS, processes and the business as a whole

What we are looking forEssential:

-Experience with building and/or managing integrated management systems incorporating ISO 9001, ISO 45001 and ISO 14001

-Experience with ISO accreditation audits and other external audits

-Internal auditor trained and/or experienced

-Experience with Microsoft 365, including SharePoint



Desirable:

-Experience in the construction or electrical industry

-Lead auditor trained and/or experienced

-Quality training or qualification

-Health, Safety or Environmental experience

-Experience with NERS requirements and accreditation

-Experience with Achilles UVDB accreditation

-Experience with NICEIC accreditation
