Provide comprehensive administrative support to the Neonatal Community Outreach Team to ensure the smooth performance of their clinical duties; providing admin support across Coventry & Warwickshire Act as first point of contact for parents/carers, team members and other members of the multi-disciplinary team, appropriately filtering and dealing with the complexity of enquires in a professional, sensitive, and timely manner. Exercises judgement when dealing with enquires. Analyses information to resolve problems for patients and staff. Provides accurate information or redirects calls as appropriate to ensure they are responded to in a timely and effective manner and that an appropriate record is maintained. Able to take calls from anxious patients and relatives or families with cultural or language difficulties in a sensitive manner. Knowledge of specialist functional and medical terms, organisational policies and procedures and knowledge and experience relevant to Neonatal Outreach or shows a willingness to learn, to deal with non-routine issues such as problem solving for an area of work or developing alternative or additional procedures. Responsible for developing and implementing policies and COPs for reporting and analysing data surrounding the Neonatal Outreach Service. Proposes changes to working practices to aid and improve the data collection and reporting of the service. Provide, receive and process complex and sensitive confidential patient information and documentation; responding to team members requests to compose, type and print correspondence as necessary. Arrange and provide assistance at service meetings, preparing and circulating agendas and papers for meetings, booking venues, taking and typing accurate notes and distributing minutes of meetings Implement and maintain an efficient office management system/procedure to enable the Neonatal Community Outreach Team to optimise their patient care service. To ensure, wherever possible, that all clinical documentation is accurate, up to date, in an orderly fashion and audited, reporting exceptional circumstances and discrepancies where necessary.
