An exciting opportunity has arisen for a Bank Recruitment Advisor to join our busy Bank Recruitment team.
As a Bank Recruitment Advisor you will be responsible for providing an advisory service to line managers on all aspects of the recruitment and selection process, from funding approval and advertising through to successful appointment and on boarding.
You will be focused on ensuring the delivery of an efficient and effective recruitment service, based on principles of best practice and in line with the Trust’s Recruitment and Selection procedures and NHS Employers Standards. You will work extensively with Electronic Staff Records system, NHS Jobs and our recruitment tracking system Trac.
The recruitment service supports the Trusts Managers to recruit to vacancies ensuring their successful candidates are those who understand the importance of high professional standards and the needs of our service users with Oxleas Values at the heart of their care.
The post holder will be able to demonstrate excellent communication and organisational skills, and have completed or commenced the CIPD Level 3, be educated to NVQ Level 3 or have an equivalent level of relevant experience (ideally experience of office administration, Recruitment or HR function).
You will be required to work a hybrid working pattern, working from the Trust Headquarters office in Dartford at least 2 days per week.
The Bank Recruitment Advisor is responsible for processing all aspects of the recruitment and selection process, from approval to appointment and the delivery of an efficient recruitment service, based on best practice recruitment practices and the Trust’s Recruitment and Selection Policy.
The Bank Recruitment Advisor will be responsible for advertising roles and facilitating the selection processes of shortlisting and interviewing. You will be responsible for issuing offer letters and processing pre employment checks including references, right to work and ID checks, occupational health clearance and disclosure and barring service checks. Once all pre employment checks, contracts will be issued and new starters on boarded.
The Trust uses the national NHS Jobs, Electronic Staff Records and an electronic recruitment tracking system. The post holder will administer an effective recruitment process, demonstrating fairness, openness and consistency.
The post holder is required to provide first line support to recruiting managers across the trust advising and guiding on all aspects of the recruitment process in accordance with local policy and national legislative guidelines. The post holder will be providing support around complex procedures and involve the interpretation and handling of sensitive information.

Advisory Support
• To provide effective advice and support in a timely and proactive manner to managers and providing solutions to recruitment needs using good recruitment practices enabling the Trust to recruit at an optimum level and in as efficient a manner as possible.
• To ensure that all recruitment campaigns commence with the appropriate authorisationand the required documentation. To communicate the importance of submitting accurate documentation before advertising any campaigns.
• To promote a positive, proactive approach to Recruitment in the Trust, acting as anadvocate for open, fair and transparent recruitment practices, to ensure that the Trust operates best practice standards at all time.
• To coach managers on the application of the Trust's Recruitment & Selection policiesand procedures on an ongoing basis, improving the knowledge and practice of recruiting managers that is in accordance with employment law and good practice, in line with the Trust‘s objective of mainstreaming equality and diversity principles and practice.
• To liaise with the managers to plan the recruitment timetable including advising onprocesses to be followed, working deadlines and best practice, adapting processes to enable managers to recruit successfully to each vacancy
• To liaise with the Trust's advertising agency and advise managers on the use ofappropriate media, focusing on cost effectiveness and offering advice on effective advert formats.

Communication
• The post holder is required to communicate effectively both internally and externally to the trust with recruiting managers and applicants / prospective employees around the recruitment function, ensuring continuity and quality assuring each step of the process.
• Maintaining dialogue/conveying issues when they arise. The postholder is required tohandle and communicate sensitive and confidential information regarding applicants.
• Effectively communicating with and work in partnership with other teams within the trustinvolved with the recruitment process i.e. the Recruitment , HR and Organisation development and Learning & Development & HR.
• To deal with all telephone and face to face enquires promptly and efficiently, providingeffective advice as appropriate.
• To tactfully handle complaints, and refer serious issues to the Recruitment Manager asrequired.
Administration, systems and information
• To administer all aspects of the recruitment process, from placing adverts, contacting applicants, and arranging interviews/competency tests, to appointment, ensuring all appropriate pre-employment checks are carried out, liaising with candidates throughout the process in a timely manner.
• The post holder is required to obtain authorisation from management accounts when advertising a post.
• To proof read adverts before placing them onto NHS Jobs ensuring recruiting managershave approved these. To liaise with designated advertising agencies ensuring adverts have been approved by recruiting managers and advertising deadlines have been met.
• The post holder is required to input all requisition and vacancies onto the Electronic StaffRecords System (ESR) and utilise the full functions of the NHS Jobs system. The postholder will also assist the Recruitment Manager in developing the use of ESR/NHS jobs and Trac in order to further improve systems and processes within the team.
• The post holder is responsible for maintaining accurate electronic and manual records of every recruitment campaign ensuring the documentation is stored electronically and all folders containing paper campaigns are stored / archived on a regular basis. The postholder will assist the Temporary Staffing Manager in the production and development of statistical information.
• To ensure follow-up progress chasing up of outstanding documentation in therecruitment process, enabling the process to completion expediently whilst observing need for confidentiality/discretion at all times.
• To maintain effective and efficient recruitment systems, making sure that trackingsystems are in place for all vacancies
• To support the Temporary Staffing Manager in identifying trends and producing statistics onrecruitment activity from NHS Jobs.
Pre-employment checks
• To confirm prospective employee’s ability to work for the Trust legally and where appropriate, prepare applications for work permits, liaising with the Home Office and ensuring permits are obtained in the shortest possible time-scale. Maintain up to date knowledge in this area.
• Administration of pre-employment checks including work permits, DBS, references andoccupational health clearances.
• To liaise with relevant external agencies including Occupational Health, Immigration &Nationality Directorate, Disclosure and Barring Service, and professional registration bodies.
• To ensure new staff are registered with the correct statutory body (e.g. GMC, HCPC,NMC) and monitor their continued registration.
• Check candidates against any alert letters.
