We’re looking for a confident and organised Technical Administrator to support our Technical Services Team.

Reporting to the Technical Services Team Leader, you'll coordinate all admin activities related to planned preventative maintenance (PPM), compliance documentation, and reporting - whether delivered in-house or by subcontractors.

Job Description

You’ll play a vital role in ensuring that all PPMs and reactive works are completed on time and to contract requirements, following up on any remedial actions. This role is key to maintaining smooth operations and upholding our professional reputation with the client.

Key Responsibilities

Coordinate and monitor PPM scheduling, completion, and follow-up using CAFM systems
Organise contractor visits, ensuring compliance with Control of Contractors procedures and site protocols
Prioritise statutory and mandatory maintenance tasks, escalating issues to the Site Supervisor when required
Maintain accurate records, including remedial actions, subcontractor reports, and contract compliance
Monitor contractor performance and ensure adherence to service agreements and pre-qualification standards
Provide monthly status updates, performance insights, and management reports using Excel, Word, and PowerPoint
Support glidepath savings tracking and compliance reporting across Southern sites

Professional and Personal Competencies/Qualifications

Proficient in IT systems including Microsoft Excel, Word, and PowerPoint
Experienced in supporting static engineering teams within large estates
Strong customer relationship skills with the ability to manage challenging situations positively
Clear and effective written and verbal communication skills
Excellent organisational, planning, and problem-solving abilities
Able to work under pressure while delivering accurate and timely results
Experience in Integrated Facilities Management, focused on maintenance administration
