The Greater Manchester Mental Health Talking Therapies Division offers psychological treatment for anxiety and depression, including specialist Post Covid Syndrome and Employment Support teams to the areas of Bolton, Manchester, Salford, Trafford, and Wigan. As the Peripatetic Team Administrator, you will play a pivotal role in supporting the division to create a positive and seamless experience for our patients.

The Peripatetic Team Administrator will work across the Talking Therapies division providing administrative duties to ensure the smooth running of our services. The post holder should contribute to working in a team environment and be flexible to work across the division as and when the need arises and in accordance with demands on the services. At times, this may involve covering late clinics and travelling across the footprint of the Trust.

Process all referrals received into services.

Monitor shared administration email inboxes and action in a timely manner.

Answer telephone calls professionally, record accurate messages and update clinical information systems while maintaining confidentiality.

Schedule appointments based on clinical requirements.

Provide cover for other administrative support staff across the Talking Therapy division, as necessary.

Greet service users and visitors at reception when required.

Utilise various software programmes to produce, maintain and distribute clinical correspondence to service users.

Organise workload to meet all deadlines, ensuring completion of day-to-day tasks.

Demonstrate flexibility to adapt to changing priorities.

Work independently, using own initiative to make decisions in a constantly changing environment, using judgement to manage queries appropriately or escalate when necessary.

Prioritise telephone calls, particularly those from distressed service users, carers and relatives and ensure the team are aware of the urgency.

Demonstrate proficiency in all functions of the electronic patient record system and the ability to query other relevant systems as needed.

Enter data onto the clinical information system promptly in accordance with Standard Operating Procedures.

Actively contribute to promoting and fostering positive working relationships and practices for all service users, sharing administrative knowledge and best practices within the Division.
