Job PurposeTo provide high-quality administrative and clerical support to ensure the efficient and effective functioning of the business operations. The Business Support Assistant plays a key role in maintaining office systems, supporting colleagues, and contributing to service delivery standards.

Key Responsibilities
-Provide general administrative support including data entry, filing, photocopying, scanning, and managing correspondence.

-Answer and direct telephone calls, take messages, and handle enquiries in a professional and timely manner.

-Manage shared inboxes and ensure that emails are responded to or redirected appropriately.

-Schedule meetings, prepare agendas, take minutes, and distribute relevant documentation.

-Maintain accurate records, databases, and spreadsheets to support reporting and monitoring requirements.

-Assist in processing invoices, purchase orders, and financial documentation in line with company procedures.

-Support the coordination of office resources, stationery, and equipment, ensuring adequate stock levels.

-Liaise with internal departments and external stakeholders as required to facilitate smooth workflow.

-Contribute to team meetings and improvement initiatives by sharing ideas and feedback.

-Ensure all tasks are completed in compliance with GDPR, company policies, and health & safety regulations.

Person SpecificationEssential:

-Proven experience in an administrative or office support role.

-Strong written and verbal communication skills.

-Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

-High level of accuracy and attention to detail.

-Ability to prioritise workload and meet deadlines in a busy environment.

-A proactive and flexible approach to work with good problem-solving skills.

-Commitment to confidentiality and professional conduct.

Desirable:

-Experience working in a customer-facing or cross-functional team environment.

-Familiarity with document management or financial processing systems (e.g., SAP, Oracle, SharePoint).

-NVQ Level 2 or 3 in Business Administration (or equivalent qualification).
