To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. The following are the core responsibilities of the receptionist, however this list is not exhaustive and other duties and responsibilities may be added that fall in line with the general role and responsibilities of this post. This may include any or all of the duties listed, and may vary from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload. This will be dependent upon factors such as workload, staffing levels and staff competency. a. Offer general assistance to the practice team and project a positive, professional and friendly image to patients and other visitors, either in person or via the telephone b. Using Care Navigation, receive, assist and direct patients/visitors in accessing the appropriate service or healthcare professional in a calm, empathetic, courteous and effective way c. Maintaining and monitoring the practice appointment system d. Process telephone and e requests for appointments e. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately f. Initiating contact with and responding to, requests from patients, team members and external agencies g. Advising patients of relevant charges for private, non GMS Services, accepting payment, and issuing receipt h. Photocopy documentation as required i. Action incoming and outgoing faxes when necessary j. Action emails as directed k. Processing and distributing incoming and outgoing mail and hospital letters, paper and electronic l. Data entry of new and temporary registrations and relevant patient information as required m. Input data into the patients healthcare records as necessary n. Filing and retrieving paperwork o. Computer data entry, data allocation and collatio. Processing and recording information in accordance with practice protocols p. Scanning of patient related documentation and attaching scanned documents to patients healthcare records q. Process patient prescriptions as directed. r. Support the practice administrator with requests for information i.e. SARs, insurance,solicitors letters, DVLA forms, booking of private medicals etc. s. Summarise and read coding of patients medical records t. Manage all queries, taking messages as necessary and passing information on in an efficient and timely manner u. Maintain a clean, tidy, effective working area at all times v. Monitor and maintain the reception area and notice boards ensuring clean, tidy and free from obstruction w. Support all clinical staff with general tasks as requested Secondary Responsibilities In addition to the primary responsibilities, the medical receptionist will be requested to a. Support the administrative staff, and providing cover during staff absences. Flexibility to work outside of core office hours and between the hours of 8am to 6.30pm, Monday to Friday, sometimes at short notice. There are times when overtime is required and you will be expected to undertake your fair share of overtime over your contracted hours to cover staff absence. b.
