JOB SUMMARY
This role will provide a comprehensive administrative and secretarial service to the UNISON team at South Tees Health Branch. We are looking to recruit an enthusiastic and motivated individual to join our team which provides trade union advice and support to members.
This role also provides support to UNISON trade union representatives within the team. You will perform administration tasks in line with UNISON’s administrative needs, including database management. Duties will include taking incoming phone calls, data entry, answering queries and signposting to the relevant members of the team. This is a busy and challenging role and you will need excellent organisational skills, be responsive to change and communicate effectively. You will receive regular supervision to support you with your role. Essential to the role is the ability to manage and prioritise own workload without direct supervision. Working with senior branch officers and regional organisers, to ensure our objectives are met, is pivotal to this role.
ESSENTIAL REQUIREMENTS
NVQ Level 3 Administration or equivalent demonstrable skills
RSA Level 3 Typing or equivalent experience
Literacy and Numeracy at Level 2
DEMONSTRABLE SKILLS
Experience of unsupervised administrative work in a busy office environment.
Previous experience of using software packages such as Microsoft Office, i.e. Word, Excel, Teams, PowerPoint, Outlook to a high level.
Experience of using customer/patient information system.
Experience of accurate data inputting and retrieval.
Excellent interpersonal skills .
Ability to communicate effectively both verbally and in written form.
Confident, reliable and conscientious.
Ability to work autonomously and as part of a team.
DUTIES AND RESPONSIBILITIES
Receive, manage and prioritise telephone and personal enquiries, complaints, messages and complex, sensitive information that might be highly emotive from members. Deal with telephone enquiries sensitively in an efficient, tactful and diplomatic manner, ensuring that any messages are passed on quickly.
Provide administrative support to branch officers and UNISON representatives.
Provide information to members and representatives; exercising judgement when dealing with enquiries. Be relied upon to communicate in a timely fashion based on information given and to appropriately escalate any issues.
Effectively use UNISON’s membership database, making sure details are updated in a timely manner.
Undertake routine office duties including case note tracking, photocopying and electronic filing of correspondence and maintenance of records when required.
Organise and facilitate meetings and training events through the creation and distribution of agendas and supporting documents including minute taking.
Book accommodation and travel for UNISON conferences.
Distribute all incoming post.
Maintain register of assets.
Responsible for ordering of stationery/stock items.
Fully participate in the appraisal system and personal development planning process.
