THE ROLE
On behalf of our Leicester Client, we are seeking to recruit a Temporary Receptionist.
Role Purpose: To provide a first-class welcome to all stakeholders, including staff, visitors, clients, and other guests. The role ensures the integrity of security is maintained at reception areas and that all guests are greeted and supported professionally. Additionally, it involves acting as the central point of communication for activities and information while offering administrative support as directed.
We are looking for a reliable candidate who is immediately available and flexible to work a rotating schedule, including weekends, evenings, and public holidays. The successful candidate will need to be compliant with policies and procedures and complete training in Safeguarding, Equality & Diversity, and GDPR.

Expected end date: TBC - the assignment is expected to last up to 4 weeks.
Rate of pay: £12.21
Holiday Pay: £1.47
The client's location is remote with no direct public transport, so candidate must be able to drive and have own transport.
Duties and responsibilities
Greet and cater to all guests, ensuring the highest standard of service at reception points, and keeping them and their hosts informed.Ensure all Front of House areas are immaculate, reporting any issues to Housekeeping or Facilities.
Coordinate with relevant departments to ensure reception kitchens and meeting rooms are appropriately stocked and cleared between meetings.
Collaborate with Security, Catering, Housekeeping, and Maintenance to stay informed about daily operations.
Manage external and internal phone calls, field inquiries, and relay messages professionally and efficiently.
Handle emails, visitor announcements, and meeting room bookings, ensuring smooth operations by coordinating with the relevant departments.
Maintain consistent staffing at the reception desk and follow security protocols at all times.
Sign in all guests, issue visitor passes, and offer refreshments as appropriate.
Keep staff contact lists updated and circulate key numbers as required.
Oversee inbox and calendar management via Outlook, maintaining an electronic diary of appointments, meetings, and events Ensure meeting rooms are checked and cleared promptly before and after meetings.
Create presentation slides for display on site audio/visual systems.
Log deliveries, inform recipients, and maintain stock control of uncollected items.
Provide internal postal services, sorting and delivering post promptly.
Manage outgoing post, including special or signed-for letters, and maintain records.
Order and maintain stock of necessary supplies, including stationery and postal materials.
Book taxis and couriers as required.
Offer administrative support as needed and directed by the Reception Manager.
Manage and respond to correspondence via mail and email.
Communicate any untoward incidents, such as unauthorized guests or security concerns, to the appropriate authorities.
Report any health and safety concerns to the Reception Manager.
Act as a Fire Warden, assisting with effective evacuation procedures (training provided).
Work flexibly as part of a team on a rotating schedule, including weekends, evenings, and public holidays.
Undertake additional duties to assist the business as required.
Collaborate with colleagues to identify and support diversity and inclusion opportunities within the team.
